They are seeking a detail-oriented, professional, and resourceful Executive Assistant to provide high-level administrative support to senior executives. Key Responsibilities:

  • Executive Support: Manage complex calendars, coordinate meetings, and provide proactive scheduling support to executives.

  • Travel Arrangements: Organize domestic and international travel, including flights, accommodations, and itineraries, ensuring seamless transitions.

  • Communication Liaison: Serve as the primary point of contact between executives and internal/external stakeholders, maintaining confidentiality and professionalism.

  • Meeting Preparation: Prepare agendas, coordinate materials, and ensure all logistical needs are met for meetings and presentations.

  • Project Coordination: Support strategic initiatives by tracking progress, managing timelines, and ensuring follow-through on action items.

  • Documentation: Draft, edit, and proofread correspondence, presentations, and reports.

  • Expense Management: Process expense reports and track budgets for executive activities.

  • Office Management: Assist with maintaining office efficiency by ordering supplies, managing vendor relationships, and overseeing administrative tasks.

  • Event Coordination: Plan and execute internal and external events, such as board meetings, team offsites, and industry conferences.

    Requirements

  • Bachelor’s degree in business administration or a related field preferred.

  • 5+ years of experience as an Executive Assistant, ideally in the biotechnology, pharmaceutical, or healthcare industries.

  • Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with project management tools is a plus.

  • Excellent written and verbal communication skills.

  • Strong problem-solving skills and a proactive, resourceful approach to challenges.

  • Discretion and ability to handle sensitive information with integrity.

  • Flexible and adaptable to the needs of a dynamic work environment.
