Job Summary:

Completes physicians payroll from physicians master schedule & CARE information w/ positive time report; reviews & follows up on any payroll concerns/discrepancies; provides secretarial/clerical support for the chief & administrative team, providers & ancillary; responsible for ensuring adequate medical & office supplies are available in the department; operates computer & word processor; responsible for computing employees hours worked on time cards & transcribing them to biweekly timesheets; performs special projects & other tasks as require.

Essential Responsibilities:

  • Upholds KPs Policies & Procedures, Principles of Responsibilities & applicable state, federal & local laws

  • Completes physician payroll from physicians master schedule & CARE information containing positive time report

  • Prepares & maintains physicians master schedules for multiple providers; distributes schedules according to established procedures

  • Reviews & follows up on any payroll concerns/discrepancies & prepares necessary paperwork for pay adjustments

  • Types confidential correspondence such as: Notices of Disciplinary Action, Performance Evaluations, termination forms & physicians certified letters to members

  • May compile department statistics on UAC, Pediatrics, Advice Nurse, teleph1 data & employee status

  • Establishes & maintains alphabetical, numerical and/or subject filing system; keeps Policy & Procedure, Regional & Administrative Manuals updated; monitors expiration dates of all licenses for staff to ensure they are current

  • Responsible for ensuring adequate medical & office supplies are available in the department

  • Responds to & resolves issues as appropriate in the absence of senior

  • Updates employee attendance records by keeping track of vacations, sick leave, personal time off & other types of absences

  • Responsible for minor adjustment & preventive maintenance of copier machine, Fax, word processor & call for repair if necessary

  • Performs other secretarial/clerical functions as follows: Maintains department administrative staff schedule; schedules necessary travel arrangements; reviews general ledger for accuracy on a monthly basis

  • Picks up & delivers checks for distribution to appropriate locations

  • Operates computer, word processor w/ existing programs & assists in developing new programs

  • Establishes & maintains employee & per diem physicians folders

  • Responsible for computing employees hours worked on time cards & transcribing them to bi-weekly time sheets

  • Prepares a departmental FTE budget report from total hours worked

    Basic Qualifications:

    Experience

    • Two (2) years experience in a medical setting

    • Must complete & successfully pass Basic Computer Literacy Test

    • Test must be on file during posting period. Must be current within one (1) year. Please contact Human Resources for testing.

    Notes:

    • Hours will vary between 5:00am - 9:00pm.

    • On-Call 8 hour shift position.
