Description
Job Summary:
Our client, a well-respected non-profit organization, is seeking a dedicated and detail-oriented Accounting Specialist to manage accounts payable (AP), accounts receivable (AR), and provide office administrative support. This contract-to-hire position offers an opportunity to contribute to a meaningful mission while developing your skills in accounting and administration.
Key Responsibilities:
Accounts Payable (AP):
Process vendor invoices, ensuring proper coding to grant-funded or program-specific budgets.
Reconcile vendor statements and resolve discrepancies in a timely manner.
Prepare payment batches and assist with the approval process to ensure compliance with organizational policies.
Accounts Receivable (AR):
Generate and track invoices for donations, grants, and program fees.
Record incoming payments (checks, ACH, and online donations) and issue receipts as required.
Reconcile contributions to donor records and maintain accurate tracking for reporting purposes.
Monitor outstanding balances and follow up on late payments or pledged donations.
Office Administration:
Serve as the first point of contact for visitors and phone inquiries, ensuring a welcoming environment.
Manage office supplies and coordinate with vendors to support smooth daily operations.
Maintain organized records for invoices, receipts, grant documentation, and other critical files.
Assist in scheduling meetings, preparing agendas, and maintaining calendars for key staff.
Non-Profit Specific Tasks:
Support grant reporting by providing detailed expense and revenue documentation.
Ensure compliance with grant requirements and assist with audits related to funding.
Collaborate with development and program teams to streamline financial workflows.
Month-End and Reporting Support:
Assist in month-end and year-end close processes, including reconciliations and reporting.
Prepare financial summaries for leadership and support preparation for board meetings.
Requirements
Qualifications:
2+ years of experience in accounting, bookkeeping, or administrative roles, preferably in a non-profit environment.
Knowledge of non-profit accounting principles, including fund accounting and grant compliance, is highly desirable.
Proficiency in accounting software (e.g., QuickBooks Non-Profit, Sage Intacct, or similar) and Microsoft Office Suite.
Strong organizational skills and the ability to manage multiple priorities.
Excellent communication and interpersonal skills to work effectively with diverse stakeholders.
High school diploma required; Associate’s degree in Accounting, Business Administration, or related field preferred.
