Job Description
Works under general supervision and provides complex administrative support work.
Responsibilities:
Must maintain confidentiality at all times; The Administrative Coordinator will sign a statement regarding confidentiality.
Serve as receptionist for the Student Counseling Center which includes answering phones, taking messages, greeting and assisting students and other visitors as they enter the lobby, assisting clients with the intake paperwork process and monitoring general email account.
Schedule Counseling Center appointments and direct other inquiries to the appropriate departments.
Provide office support including typing, data entry, copying, faxing, filing, preparing and/or hanging flyers or bulletin boards, and other support as needed.
Supervise, train, and evaluate the Student Employee.
Assign tasks and evaluate job progress.
Create content and assist with managing social media account.
Responsible for all purchase transactions in the office, obtaining tax exempt status with external organizations, and reconciling monthly purchase transactions/expense reports.
Provide administrative support and assistance to the Student Counseling Center Director and any SCC staff on an as-needed basis.
Perform word processing, desktop publishing, presentation, and data management activities, and assist staff with the use of these applications.
Compose correspondence, reports, publications, and presentations, including editing and proofreading.
Create and maintain spreadsheets and databases.
Apply, interpret, and communicate policies and procedures and serve as a resource for answering questions regarding policies.
Make arrangements for meetings, appointments, conferences, and travel.
May set up meetings, seminars, and other special events to include facilities, equipment, and food.
Maintain office supplies and equipment.
Maintain office reference materials including online office materials.
May deliver, pick up, or receive cash payments, documents, supplies, equipment, or materials (as-needed basis).
Performs other duties as assigned.
Supervision of Others:
- Supervise, train, assign tasks, and evaluate the Student Worker(s).
Required Education and Experience:
Bachelor's degree or equivalent combination of education and experience.
Three years of related experience.
Knowledge, Skills, and Abilities:
Ability to multitask and work cooperatively with others.
Strong verbal and written communication skills.
Ability to work with sensitive information and maintain confidentiality.
Strong interpersonal and organizational skills.
