The Utah Department of Veterans & Military Affairs (DVMA) is looking for an outgoing person to provide office support at the State Veteran's Cemetery. You will work with funeral homes and veteran's families, so having an understanding and respect for veteran services is a critical part of this position. The working schedule is Monday through Friday from 9:30 a.m. to 4:30 p.m. Principal Duties As an Office Specialist, you will:

  • Answer the cemetery telephone and answer questions from funeral homes and families with questions about military honors.
  • Assist walk-in customers, answer questions and direct them to the appropriate areas.
  • Review and manually file documents.
  • Use a software program to track and account for all burials.  
  • Assist in entering and tracking all payments and reimbursements for burials.
  • Order office and cemetery supplies as needed.
  • Assist with setting up Chapel preparations for funerals.
  • Monitor cameras to ensure that all burials are assisted in a timely manner.
  • Work directly with funeral home directors to schedule burials and keep the calendar updated to ensure no overlap of funerals.
  • Order headstones using the BOSS system.
  • Work with ground crew to make sure all services are set up for the next day and Honors are ordered.
  • Take payments and ensure all payments are delivered to the bank weekly.

Minimum Qualifications In order to qualify for this position, you must have:

  • Related customer service experience
  • Experience working with others in an office environment

Preferences Preference will be given to veterans and disabled veterans with an honorable discharge.  In order to receive veterans preference, you must attach a copy of your DD-214 Knowledge, Skills, & Abilities Here are some of the knowledge, skills and abilities that are typically associated with the job, though not all-inclusive:

  • Enter, transcribe, record, store, or maintain information in either written or electronic form.
  • Speak clearly, concisely and effectively; listen to, and understand, information and ideas as presented verbally.
  • Principles, practices and procedures of an office environment.
  • Operate computers and automated software applications.
  • Operate office equipment.
  • Compile veterans burial information.
  • Communicate fluently in English.
  • Review and/or edit documents for accuracy and completeness.
  • Establish, and/or maintain files.
  • Communicate information clearly, and concisely, in writing; read and understand information presented in writing.
  • Organize information in a clear and concise manner.
  • Use correct grammar, spelling and punctuation.

  • Working Conditions - Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
  • Physical Requirements - Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work.
