Job Summary:

Red Butte Garden & Arboretum ( RBGA ) is one of the largest botanical gardens in the Intermountain West and together with the University of Utah, is the State Arboretum of Utah. We are located on 100 acres in the foothills on the eastern edge of the University of Utah campus. The Garden has welcomed guests since 1985 and consists of over 21 acres of developed gardens and five miles of hiking trails winding through an extensive Natural Area. The Garden; which is community-funded; is renowned for its numerous plant collections, display gardens, 580,000 springtime blooming bulbs; including a vast collection of daffodils; gorgeous private event spaces, a world-class outdoor concert series, and award-winning horticulture-based educational programs.

Red Butte Garden is accessible via several bus routes that stop in Research Park and at the University Medical Center, as well as the Trax Red line, followed by a short walk or on-demand university campus shuttle. The campus shuttle offers a direct line to Red Butte Garden via the Sunnyside Route.

Responsibilities

The Membership Assistant is responsible for processing supporting membership operations, including processing all letters and acknowledgements, overseeing membership inbox, and answering phone calls and questions about digital membership cards and member benefits. Coordinating with the Membership Manager, the Membership Assistant oversees donation requests and waivers. Working with the operations team, the membership assistant will support data reconciliation and CRM data quality.

  • Processes all letters for memberships and all other department acknowledgements except concert donor club.

  • Oversees membership inbox, answering questions about everything from digital cards to member benefits, such as Home & Gardens subscriptions, reciprocal memberships, etc.

  • Oversee updating membership communications including monthly newsletter, renewals, or events at the guidance of the Membership Manager.

  • Assists in processing incoming gifts for department, with the exception of Concert Club.

  • Primary contact for volunteers working on all acknowledgment letters.

  • Acts as assistant for supply ordering research.

  • Assists in departmental reconciliation process, comparing batches line by line to Unite outputs.

  • Oversees donation requests for nonprofits, including Wellness Pass fee waiver requests. Creates documents for auctions and sends membership info.

  • Enters batched-in memberships for volunteers, staff, and Board Members. Completes processing with the assistance of the Advancement Operations Officer.

  • Assists in running existing queries, updating spreadsheets and various other data hygiene tasks. Cleans up auto-renewal bounce responses.

Minimum Qualifications

Associate’s degree in a related field or equivalency (one year of education can be substituted for two years of related work experience) required. Two years of related experience, ability to use logic and reasoning to prioritize tasks, expertise using MS Office software, and demonstrated human relation and effective communication skills also required. Database experience preferred. Bachelor’s degree in a related field may be preferred.
