Intermountain Health Foundation Database Management Coordinator in Salt Lake City, Utah

Job Description:

The Database Management Coordinator serves as a key partner with the Philanthropy Systems/Gift Services Manager to oversee the daily activities of the gift processing team. The incumbent is responsible for managing the data, making decisions on gift coding, documentation, and training on the system-level Raiser's Edge Donor Database (REDD) for the fundraising programs across the system.

Position Details:

Gift and Data Services is a group of driven data professionals located in both Utah and Colorado. We are looking to add a team member who is motivated, collaborative, and can work well in a multi-region hybrid environment must be okay with working in a rapidly changing organization, navigating work with flexibility and positive attitude and good humor.

This position is a hybrid/remote work arrangement, during regular business hours. There will be occasional weekend and evening commitments with Foundation events.

Job Essentials:

The Database Management Specialist oversees the daily gift entry process, assists with the maintenance, management, and use of Intermountain Foundation's REDD (e.g., responding to data requests, training local fundraising staff, troubleshooting problems, ensuring compliance with established standards and business practices).

Gift Entry Coordination:

  1. Manages daily workflow of gift processing specialists.

  2. Assesses daily lockbox deposits and delegates batch data entry activities among members of the gift processing team.

  3. Provides guidance and coaching to gift processors who are making decisions on gift coding matters.

  4. Updates daily tracking spreadsheet and ensures daily balance between lockbox and Raiser's Edge.

  5. Communicates with local offices to investigate transactions with incomplete data.

  6. Reviews data entry batches for accuracy prior to committing.

Data Extraction, Reporting and Analysis:

  1. Ensures the development, implementation, and evaluation of standardized data functions (i.e., how information is recorded in RE and use of reporting tools).

  2. Establishes standard queries and exports to support various fundraising activities (e.g., direct-mail, annual fund, planned giving, major gift management).

  3. Organizes data and applies predictive analytics to inform leadership strategies to improve fundraising results in regions and at the system (e.g., prospect qualification, assignment, management).

  4. Provides ad hoc lists and reports for internal use; redirecting requests to standard reports when applicable.

User Support:

  1. Provides regular onsite REDD assistance and training to local philanthropy staff by understanding local fundraising programs and prescribing appropriate business processes to support, manage, and report status and goals based on REDD capabilities, Intermountain Foundation standards, and industry best practices.

  2. Troubleshoots REDD issues with end users and Blackbaud.

  3. Collaborates with local philanthropy staff in support of gift processing, record maintenance, and other related business practices.

  4. Fields questions by affiliate, regional, and system-level users on the use of REDD.

Database Maintenance and Data Hygiene:

  1. Collaborates with local philanthropy staff for consistent and maximized use of REDD.

  2. Conducts global changes and imports to maintain data. Creates new values to meet strategies.

  3. Conducts regular data audits to confirm accurate use of data-entry processes.

  4. Collaborates with Philanthropy Systems team, IS, and vendors for database issues, upgrades, special projects, or performance issues.

Posting/Reconciliation:

  1. Produces and transfers posting file(s) from RE for import into PeopleSoft. Maintains archive of posting file(s).

  2. Directs end-users on appropriate coding and management of gift entry to align with Intermountain Foundation Accounting and audit requirements. Troubleshoots posting and reconciliation issues.

  3. Understands and interprets how various types of donations impact the General Ledger and instructs best use of the system to manage audit-compliant reconciliation.

  4. Produces and supports verified month and year-end financial and fundraising reports.

Minimum Qualifications:

  • Demonstrable progressive experience with Blackbaud Raiser's Edge.

  • Experience fundraising or supporting fundraisers.

  • Demonstrated strong understanding of confidentiality and accuracy in handling donor information.

  • Experience in working with cross-functional and system-wide teams.

  • Demonstrated strong orientation towards customer service. Experience in team building and change management.

  • Strong interpersonal and communication skills, both verbal and written, with an ability to understand and speak to the technical aspects of database work and translate that language to mission-driven fundraisers.

  • Demonstrated organizational skills and ability to work independently, under pressure, while juggling multiple requests and competing deadlines.

Preferred Qualifications:

  • Demonstrated literacy in technology, ability, and willingness to learn new software and processes.

  • Experience with Blackbaud Raiser’s Edge NXT, Omatic, Classy, Microsoft Office Suite, and Asana.

  • A strong orientation toward customer service.

The hourly range for this position is listed below. Actual hourly rate dependent upon experience.

$32.77 - $51.61
