JOB SUMMARY

The Finance Clerk performs various financial activities that require accurately processing, recording and/or updating fiscal information in accordance with established financial practices. This position is vital as it handles the day-to-day financial functions and operations for the department and/or office.  In this role, one will need to communicate effectively and efficiently while interacting with internal and external parties to provide guidance, procedural details and ensure compliance on a variety of accounting practices.

MINIMUM REQUIRED QUALIFICATIONS

All positions require selected candidates to be fingerprinted and successfully pass a criminal background check.  Additional minimum required qualifications for this position are:

  1. High school diploma or equivalent
  2. Minimum one (1) year of experience as a financial clerk, secretary, or administrative assistant
  3. Basic computer ability in Microsoft Office Suite including Excel, (applicants selected to interview will asked to complete and assessment)
  4. Experience working with budgets and maintaining accurate records, financial records and payments
  5. Experience performing basic math including calculations using factions, percentages, and ratios
  6. Speak, read, write, and present professionally, analyze, understand, and interpret written and verbal communications in English
  7. Experience operating standard office equipment; phone, copier, scanner and fax machines etc. 

PREFERRED QUALIFICATIONS

These are examples of skills and experience that the best qualified candidates may have.  Not having one or all of them does not disqualify any candidate from consideration.

  1. Experience using Business Plus software
  2. Experience performing standard bookkeeping and accounting procedures, and maintaining accurate financial and payment records
  3. Fluency in Spanish and or another language other than English

     

ESSENTIAL FUNCTIONS & RESPONSIBILITIES

Responsibilities include, but are not limited to:

  1. Supports assigned administrator or supervisor to ensure timely and accurate processing of department functions
  2. Process a variety of fiscal information (e.g. PO's, invoices, checks, check vouchers, A/P check run, bimonthly payroll interface, etc.) to ensure current information and compliance with accounting requirements
  3. Reviews information (e.g., PO's, unpaid invoices, etc. to ensure accuracy of information and compliance with district guidelines)
  4. Interfaces with a variety of internal and external parties (e.g., supervisors, other staff, etc.) to communicate effectively and efficiently to ensure accurate processing of a variety of accounting practices while maintaining confidentiality and positive working relationships
  5. Informs personnel and vendors regarding a variety of procedures and program requirements to provide necessary information for completing transactions, taking appropriate action and/or complying with established fiscal guidelines
  6. Researches and resolves discrepancies of information and/or documentation to allow for accuracy and adherence to accounting procedures prior to processing, and payments to employees and vendors
  7. Responds to inquiries regarding payroll or AP procedures to provide necessary information for making decisions, ass st employees or vendors, take appropriate action and/or comply with established fiscal guidelines
  8. Prepares written materials (e.g. standardized reports, reports, PO's, unpaid invoices, etc.) to document activities, provide written reference and/or convey information
  9. Compiles a variety of accounting data (e.g., invoices, receipts, payments, deposits, past due accounts, lab purchase orders, etc.) by providing summaries, accurate accounting, and ensuring compliance with established guidelines and district practices
  10. Maintains fiscal information, files and records (e.g. accounts payable, accounts receivable, contracts, etc.) to provide an up-to-date reference and audit trail for compliance
  11. Assists auditors by providing supporting documentation and/or information on internal processes that is required for audit
  12. Reconciles cash, account balances, and/or compensation (e.g., invoice batch, Visa Card, wage attachments, benefits, etc.) to maintain accurate balances and comply with accounting procedures
  13. Participates in meetings, trainings, workshops, etc. to convey gather information required to perform job functions
  14. Performs record keeping and general clerical functions (e.g., copying, faxing, etc.) in order to support district operations
  15. Adapts to changing work priorities; work under minimal supervision, work with frequent interruptions; multitask, set priorities; meet deadlines; maintain confidentiality; work as part of a team; work with detailed technical information/data; communicate with diverse groups, and have attention to detail and accuracy
  16. Performs other related duties as assigned to ensure efficient and effective functioning of the work unit
  17. Represent the department in a professional manner using workplace etiquette, maintain regular and predictable attendance to fulfill job requirements efficiently and effectively

WORK ENVIRONMENT & PHYSICAL DEMANDS

This job is performed in a general office environment.

The usual and customary methods of performing the job functions require the following physical demands:  some lifting (up to 30 pounds), carrying, bending, pushing, pulling, stooping, kneeling, crouching, and crawling and significant fine finger dexterity.  Generally, the job requires 60% sitting, 20% walking, and 20% standing.
