The Utah Department of Corrections is currently seeking a friendly,motivated,and detail oriented individual to fill its Executive Assistant *position. This position plays an important role in the day-to-day operations at the Utah Department of Corrections (UDC) as it will provide administrative support to UDC Leadership. *Job Description The Executive Assistant reports directly to the Executive Director and other office managers with daily administrative tasks.  The Executive Assistant serves in a close and confidential relationship with the Deputy Directors and may receive assignments from other Agency leaders,senior management staff,legislative and/or Governor's Office. Principle Duties The Executive Assistant will perform a variety of office functions including but not limited to:  Administrative Support:

  • Manage the Executive Director's schedule,calendars,and appointments.
  • Coordinate travel arrangements,lodging,and conference schedules.
  • Track,assign,and monitor tasks and information within the executive office.
  • Organize and maintain both electronic and physical files for quick information retrieval.
  • Greet and receive visitors,ensuring professionalism and courteous interactions.

Communication:

  • Compose clear and concise written and electronic correspondence for UDC.
  • Quickly read and comprehend communications.
  • Listen,understand,and articulate ideas,directives,and instructions on behalf of UDC.
  • Safeguard and maintain the confidentiality of sensitive information.

Advisory Role:

  • Assist UDC by gathering and organizing information from within the organization.
  • May chair meetings and represent the executives at meetings.
  • Coordinate special events,such as Corrections Week and Awards events.

Skills and Qualifications:

  • Proven experience in executive support roles.
  • Exceptional time management and organizational skills.
  • Proficiency in office software and tools.
  • Strong written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Event coordination experience is a plus.

The Ideal Candidate

  • 2 or more years of professional experience providing administrative support.
  • Experience prioritizing questions or issues and delegating them to the correct person.
  • The ability to communicate and work with all levels of our organization.
  • The ability to maintain confidential information.
  • Excellent people skills.
  • Self-motivated and willing to learn.
