Job Summary
The Talent Ready Utah ( TRU ) Contract Officer plays a pivotal role in supporting the administration of TRU initiatives by coordinating and managing key processes throughout the program lifecycle. This position ensures the timely scheduling of initiative information sessions and proposal debriefing meetings while leveraging Salesforce to manage initiatives. Provides support for review committees and Talent Advisory Councils. Additionally, this role tracks report submissions, processes invoices, submits payment requests, and provides responsive communication with awardees and stakeholders. This position will work with the Associate and Assistant Commissioners to perform workforce analysis reports.
Responsibilities
Organizes and schedules initiative information sessions, proposal debriefings, and review committee meetings.
Maintains a comprehensive calendar of program-related activities and deadlines.
Utilizes Salesforce to manage and monitor TRU initiatives and ensure data accuracy.
Tracks submission of required reports and ensures awardees meet deadlines.
Assist in the preparation and publishing of annual reports to ensure legislative and statutory compliance.
Processes invoices and submits payment requests, ensuring compliance with financial guidelines.
Responds promptly to inquiries, requests for information, and support needs from awardees and interested parties.
Provides support and guidance to grant applicants and awardees on program requirements and compliance.
Ensures adherence to financial rules and organizational policies in all program-related activities.
Prepares and presents periodic reports on initiative activities, fund utilization, and program compliance.
Assists in the development of memoranda of understanding (MOUs) with awardees to formalize agreements.
Support the creation and processing of amendments to MOUs as necessary to reflect changes in scope, funding, or timelines.
Facilitates the effective implementation of new and existing programs.
Continuously evaluates program effectiveness and suggests improvements where necessary.
May perform other duties as assigned.
Minimum Qualifications
Bachelor’s degree in a business-related field, statistics, public administration, finance, economics, or a related field, plus two years of related experience or ten years of related experience or equivalency (one year of education can be substituted for one years of related work experience).
Proficiency with Salesforce or similar CRM tools is strongly preferred.
Ability to analyze labor force trends and workforce data.
Experience with grant management, program coordination, or financial tracking is a plus.
Demonstrated ability to perform the essential functions of the job as outlined in the job summary.
