Job Summary

The Administrative Assistant provides complex administrative support the Spencer Fox Eccles School of Medicine Computer Support team. This includes customer service support and distributing tickets to the technician team for computer support-related issues for over 3,000 machines throughout multiple departments in the School of Medicine. The Administrative Assistant provides administrative support for department leadership, assisting with purchasing and inventory. This position cultivates and maintains relationships with department administrators and outside vendors.

Responsibilities

  • Oversee administrative matters regarding day-to-day operations and procedures, and handles the technician schedule.

  • Respond to support phone line and coordinates work assigned to the technician team.

  • Assists with all unit inventory by receiving, tracking, registering, ordering, and applying bar codes to computer hardware and other related equipment; manage build sheets to track all parts for individual computers; maintaining and verifying unit inventories and recording any changes; working directly with individual departments on staffing changes impacting hardware distribution; organizing computer objects into containers/folders in Active Directory database; manage and oversee dispersion of student iPads.

Problem Solving

This position is responsible for solving office problems and/or staff, faculty and student problems and/or directing them to someone who can. Plans and expedites the flow of work while ensuring the smooth operation of the office under the pressure of frequent interruptions and changes in priorities.

Minimum Qualifications

Associate degree in business or equivalency (one year of education can be substituted for two years of related work experience) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.
