Overview
The Communications Division creates and provides strategic communications to the Laboratory’s internal and external stakeholders and collaborators. It sets and implements a cohesive strategy to amplify the visibility of PNNL's research and develops standards and efforts that communicate PNNL’s value proposition. In doing so, Communications enhances the Laboratory’s institutional reputation and science and technology agenda. Further, Communications drives employee-focused communications; leads media and outreach to external stakeholders; supports research through robust technical editing, formatting, and graphics support; and protects the Laboratory's reputation through issues management and transparency with news media.
PNNL’s Communications organization is comprised of over 100 talented communications professionals committed to elevating PNNL’s reputation, inspiring action, and engaging audiences by transforming the Lab’s science into influential communications and compelling stories.
Responsibilities
The proposal lead coordinates a cross-functional, matrixed team of technical editors, writers, formatters, and designers to support document production for PNNL’s research proposals. The proposal lead communicates with sectors, PDOs, and PNNL’s business capture office; develops and refines efficient processes; stewards Communications’ proposal-support capability; and contributes to polished and compelling proposals with expert technical editing, grant writing, and formatting. In addition, the proposal lead edits and formats other deliverables as needed. The proposal lead role includes the following key responsibilities.
Key Responsibilities:
Ensures quality of technical reports, papers, and proposals through editing and formatting.Takes on additional technical writing and editing projects as necessary.
Coordinates and oversees proposal templates and writing guidance.
Intakes proposal work and manages staffing and workload for the proposal scope.
Manages the proposal queue (Jira) for Communications.
Balances workload among different Comms staff who work on proposals, including both editors and designers.
Collaborates with designers on proposal figures that balance technical accuracy and storytelling.
Works with stakeholders to understand sponsor priorities and apply them to proposal writing.
Coordinates with proposal clients to ensure timely proposal delivery and make schedule adjustments as needed or calibrate expectations for what Comms can deliver.This may include working with sector/subsector leads in research directorates for scheduling.
Partners with the business capture office to create a strong proposal writing culture based on disciplined processes.
Leads the proposal function for WritingLab, Communications’ technical writing coaching and training capability.Works with other WritingLab staff to advise clients on how to write well-structured proposals.
Promotes WritingLab to clients; coordinates and delivers technical writing seminars.
Develops and reports out on metrics showing impact of proposal team.
Reviews processes and works with the team to improve on processes where possible.
Works with subject matter experts to ensure that documentation is accurate, up to date, and complete.
Remedies grammatical, typographical, capitalization, citation, and punctuation errors across various content types.
Formats content across various deliverables, templates, and projects, using advanced features of Microsoft Word and PowerPoint.
Checks and formats bibliographic references, in some cases using EndNote or similar software, in collaboration with other team members and researchers.
Assures accuracy of language and compliance with writing style and format guidelines.
Standardizes and ensures consistent tone, style, and format appropriate to each deliverable.
Fosters collegial relationships with writers, other editors, project managers, and partners across the Lab.
Assures that copy meets layout and format requirements (e.g., a journal article is formatted to comply with the target journal’s submission requirements).
Suggests ways highly technical language can be rephrased to be more direct, readable, and easily understood by end users.
Qualifications
Minimum Qualifications:
BS/BA and 7+ years of relevant experience -OR-
MS/MA and 5+ years of relevant experience
Preferred Qualifications:
Degree in English, journalism, communications, or a science relevant to PNNL's research.
Five years of related experience providing document formatting and design support, copyediting, or technical editing of various deliverables (e.g., technical reports, procedures, journal articles, grant proposals, flyers, scientific posters, websites, and PowerPoint presentations).
Experience presenting to, or working directly with, researchers to teach best practices in editing, formatting, and storytelling.
Proficiency with LaTeX.

Starting pay is calculated from the minimum of the pay range and actual placement in the range is determined based on an individual’s relevant job-related skills, qualifications, and experience.
