Job Description
This position supports, assists, and aids the other team members in the Purchasing Department with various administrative and procurement functions. The role involves working closely with suppliers, maintaining positive relationships while negotiating specifications, pricing, and deadlines.
Responsibilities
Perform ‘3-Way Match’ of Purchase Order, Receiving Paperwork, and Invoice for all received materials (must have)
Print, save, date stamp, and file all invoices daily
Obtain receiving paperwork daily in person (St. Louis) and weekly electronically (Olean)
Ensure the invoice unit price matches the purchase price or is properly reconciled with the buyer
Track and report inventoried material-invoice discrepancies
Maintain department KPI spreadsheet and follow up with team members
Send all non-inventory ‘3-Way Matches’ to the requisitioned via intercompany mail (STL) and via email (OLN) to obtain approval signatures, and submit them to the Finance Department once obtained
Create all K-type, A-type, and FO-type purchase orders, requesting Single-Source or Competitive Bid Form when appropriate
Control the distribution of Purchase Order Numbers to departments that order independently (IT, EH&S, Maintenance, and Engineering)
Essential Skills
MUST HAVE 3 WAY MATCHING EXPERIENCE
Minimum Associate’s Degree or equivalent work experience of at least 1 year, preferably in an office environment
Experience in purchasing or accounting involving invoicing/reconciliation
Knowledge of SAP System (highly preferred)
