California Dental Association Temporary Executive Assistant in Sacramento, California

Job Purpose 

The Executive Assistant is responsible for providing administrative support to the Chief Legal Officer and legal department. Specific duties include, but are not limited to:

    Essential Functions – must be able to perform with or without a reasonable accommodation

  • Provides administrative support to the Chief Legal Officer and Legal department, to include but not limited to: composing letters and correspondence; establishing and maintaining calendars, scheduling appointments and meetings, and preparing and organizing materials needed for each meeting; answering telephones and screening calls; arranging travel when necessary; completing expense reimbursement forms; and collecting and distributing mail.

  • Ensures correspondence, and any governance meeting materials are coherent, effective, grammatically correct and professional.

  • Composes and prepares confidential correspondence reports and other complex documents.

  • Support review process for all contracts.

  • Monitor disciplinary actions taken by the Dental Board of California, record member and non-member discipline, and work with senior corporate counsel to initiate ethics proceedings, as warranted, and prepare reports for the CDA Board of Directors.

  • Maintain all Legal and Judicial Council case files.  Purge files in accordance with CDA’s document retention policy. 

  • Assist with maintenance of Ethics Handbook and Hearing Manual.

  • Assist with activities of the Special Investigations Unit (anti-fraud) for TDIC, including new hire orientation, ISO monitoring and reports, SIU referral follow-up activities.

  • Assist with corporate governance/regulatory filings, as needed, including confidential biographical affidavits for TDIC.   

  • Collects receipts and accounting codes to complete monthly credit card reconciliation.

  • Maintain legal library.

  • Other duties as assigned.

    Required Education, Licenses & Experience

  • High school diploma or GED

  • Minimum of three years administrative assistant or secretarial experience; or equivalent combination of education and experience. 

  • Maintain strict confidentiality to maintain attorney-client privilege.

  • Strong organizational skills.

  • Ability to take initiative and anticipate department needs.

  • Proofread complex documents.

  • Effectively present information and respond to questions. 

  • Excellent interpersonal, verbal and written communication skills.

  • Must demonstrate diplomacy and tact while interacting with all levels within and outside of the organization. 

  • Exercise good judgment and professionalism, utilizing analytical skills to solve problems. 

  • Computer skills, including the ability to operate Windows/Microsoft Office, Power Point, and Excel. 

    Preferred Education, Licenses & Experience

  • Dental/health related agency, company or non-profit.

  • Notary Public license

Salary Range: $55,700 - $69,600
