Position Overview:
Our company is seeking a highly skilled Senior Specialist in Trade Operations to join our Global Clinical Supply Compliance Operations team. This role is critical in ensuring that all imports and exports are declared, documented, and shipped in full compliance with local Customs regulations, government agency requirements, and our company's Global Trade Compliance (GTC) standards. The position will involve developing and implementing comprehensive processes and procedures to ensure adherence to applicable policies and laws. Collaboration with Global Trade Compliance (GTC), site shipping teams, Clinical and Research stakeholders across global our company's locations, Logistics, Transportation, Clinical Country Operations overseas, and external vendors/shippers will be essential.
Key Responsibilities:
Audit Activities:
Conduct regular post-entry reviews of import declarations, performing self-assessments on a selection of import entries monthly.
Collaborate with 2nd Person Reviewer to rectify errors identified during audits and ensure all necessary corrections are made promptly.
Data Analysis and Reporting:
Maintain and report comprehensive metrics related to audit findings, TIB (Temporary Import Bond)/IFE (In-Transit Importation Exemption) program performance, and post-entry self-assessment outcomes for all your entry files.
Prepare "ready entry files" for efficient processing and documentation of shipments, ensuring that all necessary details are accurate and complete prior to declaration.
Regulatory Compliance Management:
Oversee the TIB/IFE program for our company's Regulatory Logistics (our Research & Development Division), ensuring compliance with all relevant rules and regulations and working with stakeholders to gather documentation necessary for closing TIBs.
Support the C-TPAT (Customs-Trade Partnership Against Terrorism) annual audit, ensuring that all requirements are met and necessary documentation is prepared.
Stakeholder Engagement:
Act as the primary escalation point for issues related to Import Entry inquiries, providing guidance and support as needed.
Conduct outreach to our Research & Development Division stakeholders to promote awareness and adherence to compliance processes.
Strategic Development:
Contribute to the operationalization of strategic programs within GCS and our Research & Development Division to ensure compliance with import and export regulations.
Identify opportunities for trade compliance process improvements within GCS and collaborate with relevant teams to implement these enhancements.
Standard Operating Procedures:
Assist in the maintenance and implementation of trade compliance Standard Business Procedures, tools, and training programs to ensure that best practices are integrated into GCS and our Research & Development Division operations.
Collaboration:
Partner with subject matter experts both within and outside of GCS on cross-functional initiatives to foster a culture of compliance and operational excellence.
Provide global support to drive the execution of our company's compliance strategic goals, aligning closely with broader business objectives.
Technology Utilization:
Leverage global trade management systems, including SAP GTS, GTAS and other relevant platforms, to ensure that trade attributes are accurately recorded and communicated to brokers and government agencies in a compliant manner.
Qualifications:
Bachelor's degree or equivalent experience in Trade Compliance is required.
Trade-related certification or Customs Broker License preferred.
Minimum of 5 years of logistics, trade or pharmaceutical experience in the pharmaceutical industry, including at least 5 years of functional expertise with international trade compliance.
In-depth knowledge of U.S. Customs regulations and experience with partner government agency trade regulations.
Previous experience interfacing with international third-party vendors.
Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word) is required.
Prior experience with global trade management systems, particularly SAP GTS or similar databases, is highly desirable.
Proficient in English, with excellent communication skills.
Strong project management skills and the ability to manage multiple priorities effectively.
Demonstrated analytical and problem-solving abilities, with a proven track record of maintaining high performance levels in fast-paced environments.
