We’re looking for an experienced and collaborative Administrative Clerk to support our team. Supporting the Team Leads, you'll manage the onboarding process for new team members, coordinate in-person trainings/workshops for our internal and external teams and perform document control. You'll maintain and organize documents including staff records and databases such as staff organizational charts, contact information and their software/hardware needs, along with several other duties.
Essential Job Duties
Prepare general correspondence and maintain general files.
Document management/organization.
Assist with drafting and executing an onboarding manual.
Assist with maintaining training materials and managing version control.
Facilitate or assist with hosting in-person onboarding and training workshops.
Prepare draft correspondences.
Manage and update Excel tracker.
Track billings and proactively send reminder notifications to the team.
Assist the team with research duties.
Review subcontractor invoices.
Establish and maintain records of equipment for all employees.
In accordance with established procedures, perform a variety of routine and non-routine administrative, clerical, and data collection tasks for supervisor.
Receive direction from immediate supervisor in completing non-routine assignments.
May develop new reports or revise existing reports, as directed.
Originate correspondence and reports not requiring the personal attention of immediate supervisor.

High school diploma (or equivalent).
5+ years of relevant work experience.
Proficiency in Microsoft Office Suite software.
Experience in creating PowerPoint presentations.
Good written and communication skills.
Extremely good organizational skills.
Fantastic interpersonal skills and ability to work with anyone.
Self-starter, multi-tasker.
Ability to work in a high volume, dynamic team environment.
Proven record of accomplishments of office administration.
Ability to adjust to new and changing conditions.
Accountable and dependable, and able to follow through with tasks/project.
Handles all matters in strict confidentiality.
Manage special projects as needed.
Willingness to travel (car/ plane) 1-3 times per month for meetings/trainings.
This position offers a hybrid/remote schedule.
