FREEMAN Production Assistant, Events in Royal Oak, Michigan

Position Overview:

The Event Production Assistant is an essential part of the team. They work closely with the entire event team and is responsible for coordinating details and tasks involved in planning and executing business to business and B to client corporate events ranging in audience size and scope.

Responsibilities:

  • Provide support at events

  • Create and maintain event files and assist with event close-outs.

  • Input and update events on the event calendars.

  • Assist in supporting and executing client events

  • Coordinate/manage/distribute all internal documents

  • Develop/manage event schedules and checklists

  • Produce/manage event binders

  • Confirm deliverables with all parties prior to event

  • Support team in fostering a positive relationship with internal/external clients

  • Assist with the creation and production of event materials including nametags, programs, flyers, seating charts, invitations, guest lists, and other event related items.

  • Research event vendors and venue locations to host events.

  • Assist with coordination of components of events to include placing catering orders, helping with supply purchases, booking airline and hotel travel, payment of invoices, etc.

  • Pack and ship materials for use on site

  • Organize and ship event kits to event site

  • Manage event kit inventory

  • Contribute to the overall success of events by performing other duties and responsibilities as assigned

  • Travel to and onsite management of specific events (up to 20%)

  • Other duties as assigned

Qualifications:

  • Bachelor degree preferred, but not required

  • 1-2 years’ experience in production preferred, but not required

  • Experience in a multi-tasking and prioritizing assignments under high pressure in a fast-paced environment

  • Strong Excel skills

  • Familiarity with working with multiple cross-functional partners

  • Strong communication skills

  • Capable of handling various responsibilities and multiple projects simultaneously while operating independently

  • Superior organizational and communication skills

  • Able to work long hours, nights, weekends as needed

  • Ability to lift up to 50 lbs

  • Proficient in Google Drive and Microsoft Office

  • Strong attention to detail, a positive attitude, and a team player

  • Excellent written, verbal and interpersonal communication skills
