The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
Responsibilities:
Provides support and assistance in efficient practice operations management. Supports leadership, collaborating and seeking their resources as appropriate. Develops and maintains network procedures and best practices for office managers in the area of business operations. Researches best practices and collects and analyzes process data to initiate, develop and recommend business practices and procedures that focus on enhanced safety, increased productivity and reduced cost.
Enforces the business management practices, planning mechanism and organization necessary for Ambulatory Administration for all Practice Operations of SMH and the University of Rochester Medical Faculty Group and Affiliates. Enforces the information necessary for a clear understanding of all departments Ambulatory front-end operational policy compliance.
RESPONSIBILITIES:
Front End Operations:
Leads front end operations across all 425+ URMC ambulatory care areas, both northern and southern region sites. Working with all specialty and Primary care practices to assure consistent standards are in place and being monitored. Uses established metrics to assure consistency and accuracy across staff in all areas. Works independently to promote, to strategize, and develop works flows for more efficient, effective and cost saving measures. Collaborates with clinic managers, provides for their training and development and measures their performance. Continuously evaluates the administrative needs for the department and submits recommendations to the Asst Directors.
Enforces policies, procedures and metrics to establish administrative and clinical expectations. Assists in implementing ┐best practice standards┐ across all 425+ sites.
Enforces goals to ensure a first-class service culture and a highly efficient and first-rate experience for patients. Works with the Ambulatory team to develop metrics to ensure the goals are tracked and met.
Conducts assessments to maximize operating efficiency and effectiveness. Continually review administrative functions for opportunities for process improvement. Assists in the implementation of electronic processes that will lead to work efficiencies.
Maintains and monitor statistics related to volume, productivity, and other relevant factors and works with Asst Directors as required.
Ensures compliance with SMH, URMFG and Affiliate policies and NYSDOH, Joint Commission, HIPAA and other regulatory requirements through site visits on a recurring schedule, achieving a goal of 75% of clinics visited per year.
Project management:
Assists Asst Directors with newly assigned projects/activities that have direct impact on front end staff, including but not limited to, Epic system access, liaison with departments, UTD Cadence and Grand Central, IT, RIM, PFS, UBO, and directly with Epic TS. Acts as a conduit from departments to ISD in both directions to ensure that projects are understood and goals are met. Provides direction and guidance to department managers on the implementations of changes that impact front end clinic business activities, which can begin with initial appointment through clinic appointment work flows and check out, assuring workflows aid in efficient revenue reimbursement and are compliant with ambulatory policies.
Holds departments accountable to achieve metrics established for Access Policies and centralized functions to include new patient appointments, use of wait list functionality, provider-initiated schedule changes, template management, patient telephone access standards, and front-end metrics, helping to review workflows to be compliant. Recommends and implements best practices. Seeks opportunities for efficiencies and drives improvement.

Assists with University teams on new acquisitions, moves, new builds, system enhancements, digital health programs, Epic Connect, and other programs as they arise.
Strategic Planning:
Consults on coordination with the leadership team in developing and implementing an ambulatory structure that streamlines care delivery processes, tracks outcomes, improves patient satisfaction, and optimizes healthcare-related expenses. Assist in developing organizational strategic plans with objectives, priorities, timelines, and communication plans that assure clinic compliance with ambulatory policies and processes.
Sits on ambulatory teams that plan the future use of digital system and assists in decision making for system wide policies including affiliates. This includes large systems projects with significant impact on patient care and general operations.
Talent Management:
Assists management within the department in areas of talent management. This includes a focus on employee engagement, employee retention and training. Will work in collaboration with the Asst Directors to develop programs supporting the department including performance management, career ladders, and succession planning. Oversee the process for appointments, promotions, salary and related changes, coordinating with the Human Resources Department. HR Compensation, and others concerned. Will ensure processes are in place that support IICARE, as well as diversity and inclusion.
Other
Aids in correspondence, operating reports, administrative reports, payroll and other related personnel records and inventories. Assists in an annual report for ambulatory departmental staffing needs, internal and external parties as intended audiences. This report will highlight key recruiting achievements within the departments, as well as highlighting key performance metrics and details pertaining to the departmental management plan. This will be delivered the reporting and analysis to the Director of Patient Access and Senior Leadership by the Asst Directors.
QUALIFICATIONS:
Bachelor┐s Degree in Business Administration or equivalent training or experience in a specialty suited to the assignment required.
5 years relevant experience including substantial work at a managerial level or equivalent combination of education and experience required.
Revenue cycle management experience preferred.
Epic Cadence preferred.
