Job Responsibilities:

Graduate Program Administrative Support

  • Processes graduate applications. Liaises with International Student Services to ensure all students are in status and making satisfactory progress towards their degree.

  • Composes and sends correspondences (e.g., graduate orientation cover letter, continuation of thesis fee waiver request).

  • Assists with orientation preparation and presentation to incoming graduate students; composes and distributes orientation information letters.

  • Provides information to potential, incoming, and current graduate students, including orientation information, course offerings, program and Institute policies, and registration and matriculation procedures. Provides registration assistance.

  • Completes and submits Student Employment graduate assistant hire paperwork in compliance with RIT/CoLA policies and procedures. Serves as Kronos supervisor for graduate assistants.

  • Serves as point of contact for all paperwork related to graduate student records. Creates, maintains, prepares and archives graduate student records; monitors and tracks academic progress; creates and maintains related databases.

  • Tracks graduate scholarships and submits renewals to Office of Scholarships and Financial Aid; monitors graduate assistant payments/offers.

Thesis Program Facilitation

  • Supports the oral thesis presentation process. Receives forms, reserves rooms, makes arrangements, and electronically distributes materials.

  • Supports the thesis submission process. Reviews thesis for style formatting compliance, ensures revisions are made, and tracks completion of document.

Event Support for graduate programs

  • Works closely with Deans Office and Events Director/faculty point-persons for events/offices across the Institute to help coordinate arrangement for grad related events and activities. Works collaboratively both within and across departments and external speakers and vendors on event logistics (room reservations, catering orders, parking permits, travel arrangements, material preparation, etc.).

  • Supports grad student organizations. Reserves rooms, orders food, photographs events, collects money, etc.

Grant Support

  • Serves as financial assistant to the Operations manager for faculty grant funding, including the oversight of budget and record-keeping.

  • Oversees the hiring of grant student workers.

  • Processes expense/travel reimbursements on behalf of grantees.

  • Oversees budget and maintains accurate and complete records.

  • Supervises externally funded student workers.

Required Qualifications:

Education/Experience:

  • Associate’s degree or equivalent experience

  • Two years of administrative, office, programmatic experience.

  • A combination of education and experience may be considered.

Job Summary:

Reporting to the Operations Manager, the Senior Staff Assistant is responsible for providing comprehensive administrative support for the College of Liberal Arts graduate degree program directors, faculty, and students, and support to select faculty for external grant funding and study abroad related expenses and research needs.
