POSITION: Secretary to the Assistant Principals

7.5 hours per day/ 10-month (7-12 Student Calendar)+ 9 days

7:00 a.m. - 3:00 p.m. (includes a 30-minute unpaid lunch)

REQUIREMENTS:

Strong clerical skills and demonstrated experience in automated office environment; excellent word processing and database management skills; strong writing skills; demonstrated ability to work with minimal supervision in a fast-paced environment.

QUALIFICATIONS:Eligible for Monroe County Civil ServiceOffice Clerk III

Must be eligible for the next offered exam, have taken the exam and be on the current eligible list or currently hold the Office Clerk III title.

SALARY:Salary Range: $16.83 - $20.75 per hour (IESA Schedule B)

SECRETARY TO THE ASSISTANT PRINCIPAL – 10 MONTH

DAKE JUNIOR HIGH SCHOOL

Job Summary:

Performs a wide variety of clerical duties in the office of the Assistant Principal’s office. Work requires knowledge of school methods and procedures and requires judgement and initiative in order to effectively handle the wide variety of situations, which arise daily.

Job Duties:

  • Schedules appointments and meetings for the Assistant Principald; maintains the assistant Principal’s calendar.

  • Opens incoming mail for Assistant Principal and distributes outgoing mail.

  • Procedures correspondence on matters pertaining to the Assistant Principal’s office; prepares student hearing reports.

  • Prepares and processes mailings for discipline information and other mailings pertaining to students (i.e. attendance/truancy letters, suspensions letters).

  • Maintains long term building records of student files in accordance with record keeping requirements of the Board of Education.

  • Maintains main office files and records concerning a wide variety of topics; maintains a filing system for the Assistant Principal.

  • Updates Details, Attendance, and Discipline Information in Infinite Campus program.

  • Prepares teacher evaluations written by the Assistant Principal. Set up appointments for observations and post observation meetings. Distribute evaluation information.

  • Prepares and follows up on purchase orders for the Assistant Principal.

  • Receives and answers telephone inquiries and relays messages for the Assistant Principals.

  • Assists with discipline and attendance of students.

  • Performs all related clerical and secretarial duties as assigned by the Assistant Principals.

  • Receive end of year attendance for each student and file in student folders.

  • Set up tutoring for In-School and Out of School Suspensions – follow up on off ground tutoring.

  • Performs clerical duties related to mid-term and final exams.

  • Performs clerical duties related to state testing exams.

    Skills and Qualifications: Per Civil Service – Office Clerk III:

Full performance knowledge, skills, abilities and personal characteristics: Good knowledge of office terminology, practices, procedures, routines and equipment; good knowledge of business arithmetic; good knowledge of grammar and punctuation; good knowledge of the techniques involved in record keeping; skill in typing at 35 words per minute; skill in using a PC and a computer terminal; ability to utilize word processing data base and spreadsheet programs; ability to maintain a filing system; ability to work with forms; ability to prepare and type written communications, arithmetic and standardized reports; ability to operate such office machines as the electronic work station, telephone, typewriter, FAX machine, adding machine, calculator and photo copier; ability to acquire familiarity with departmental organization, laws, policies and regulations; ability to understand and carry out relatively complex oral and written instructions; ability to express oneself clearly; ability to deal with the public; resourcefulness; initiative; tact; courtesy; integrity; physical condition commensurate with the demands of the position.
