Job Description Summary

The Clinical Education Assistant is a full-time, 12 month position, that provides administrative support for clinical education within the Physician Assistant Program.

Essential Functions

Administrative Support for Clinical Education

Contract Management:

  • Circulate affiliation agreements for signatures.

  • Track the progress of contracts.

  • Maintain the affiliation contract database.

Insurance Management:

  • Order and obtain copies of insurance certificates.

Information Systems:

  • Utilize and update computer information systems for rotation scheduling, health clearance, and site requirements.

Event Organization:

  • Assist in organizing clinical year orientation.

  • Assist with planning and executing in-person intensives/call backs.

Preparation for Site Visits:

  • Assist with preparing clinical files (digital) prior to site visits.

Database Maintenance:

  • Maintain databases for alumni, preceptors, clinical sites, adjunct faculty, and guest lecturers.

Document Creation and Maintenance:

  • Create and send merge letters to preceptors and clinical rotation sites.

  • Maintain digital student files, including confidential health documents, in accordance with program guidelines.

Communication and Coordination:

  • Work closely with the clinical education team to coordinate mailings to existing and new preceptors yearly for the new rotation schedule.

Meeting Minute Responsibilities:

  • Attend clinical education team meetings.

  • Record, transcribe, and distribute meeting minutes.

  • Track and follow up on action items from meetings.

Other Duties:

  • Perform other duties as assigned.

  • Effective communication and collaboration skills.

  • Ability to perform duties autonomously with minimal supervision.

  • Strong computer skills.

  • Ability to manage and prioritize multiple tasks, and successfully meet deadlines.

  • Ability to create efficient and effective processes.

  • Strong organizational skills.

    Preferred Education, Experience, Technology Applications and Skills

  • Associates degree or higher.

  • Experience in higher education.

    Supervisory Responsibilities

  • May oversee student workers or graduate assistants.

    Physical Requirements

  • Prolonged periods of sitting, extensive computer use, and occasional lifting or moving of light objects
