Job Responsibilities:

Execute a significant volume of transactions, including procurement card transactions, invoice payment forms, deposits, petty cash, purchase orders, internal chargebacks, journal entries, and travel. Maintain current financial documents reflecting each transaction.

Facilitate meetings with RIT Certified staff, partners, and other stakeholders to complete financial transactions, answer questions, assist with planning of events or travel, and provide financial education and counseling related to appropriate utilization of university funds.

Facilitate and track the delivery and execution of contracts with subject matter experts, instructors, and other parties associated with RIT Certified’s academic portfolio.

Perform administrative functions including:

  • Managing RIT procurement cards used by RIT Certified staff by developing and monitoring sign in/out procedures, collecting required documentation, allocating expenses via the PNC Active Pay website, and posting accurate expenditure amounts in accordance with departmental tracking mechanisms;

  • Responding to requests for account numbers or other information;

  • Monthly, printing Oracle statements, reconciling department accounts, and preparing statements for procurement cards;

  • Ad hoc requests for data entry, data cleaning, or conducting routine maintenance on enterprise software systems.

Required Qualifications:

  • Excellent communication and relationship-building skills, and an ability to work collaboratively with internal and external stakeholders;

  • High level of accuracy in data entry and attention to detail;

  • Ability to accurately and efficiently perform a wide variety of tasks relating to financial transactions and maintaining accurate records;

  • Professional proficiency in Microsoft 365 apps, Google workspace apps, and other workplace software applications;

  • Experience using technology to support administrative, operational, and program functions;

  • Ability to learn new enterprise software systems quickly and with minimal supervision. These systems may include software designed for timekeeping, accounting, project management, and signature management;

  • Ability to manage confidential information;

  • Excellent time management and organizational skills, with the ability to manage multiple tasks under tight deadlines;

  • Ability to exercise judgment and independent initiative in the service of handling time-sensitive matters that require critical thinking and problem-solving skills.

Preferred Qualifications:

  • Bachelor’s degree in accounting or related field

  • Experience with Oracle E-Business Suite

  • Experience with Kronos workforce management software

  • Experience with project management software such as ClickUp or Microsoft Project

  • Knowledge of RIT policies and procedures for financial transactions

Job Summary:

Reporting to the Associate Director, Academic Administration, this position facilitates comprehensive financial administration and oversight for RIT Certified accounts. Responsibilities include processing procurement card transactions, invoice payment forms, deposits, petty cash, purchase orders, internal chargebacks, journal entries, various types of travel transactions, and maintaining financial documents.

This position provides education and counseling to RIT Certified staff regarding financial processes, procurement, budgeting, and financial planning; develops and implements procedures based on policies and processes; and ensures compliance with internal controls, policies, and procedures.

A significant portion of this role entails the delivery and execution of contracts with subject matter experts and other independent contractors.

The Business Process Coordinator also provides a wide range of administrative and organizational support tasks. These include but are not limited to maintenance tasks on RIT Certified’s learning management system and cloud storage drives, data entry, data cleaning, and scheduling. Comfort with technology and an interest in acquiring new skills through training or independent learning is essential.
