The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Assists with budgeting, account reconciliation, expense reimbursements, supplier invoices and administrative tasks. Supports special projects as assigned.

Responsibilities

GENERAL PURPOSE:

Implements administration/management activities within the Office of Research IT (ORIT). Contribute to and maintain departmental policies and procedures. Ensures department reports are prepared and shared as needed. Plans, organizes, and coordinates business operations in accordance with strategic goals within ORIT. Assists with budgeting, account reconciliation, expense reimbursements, supplier invoices and administrative tasks. Supports special projects as assigned.

C-level suite experience and related communications

Act as primary delegate for ORIT Administrator functions and meetings

Timely completion/follow-up on assigned and on-going open items

Support ORIT department needs (event coordination, personnel needs, etc.)

Dept/Research Communications (monthly updates, announcements, etc.)

Dept. Liaison for DEI and URHR initiatives

Technology savvy with M365 Office Tools, Slack, Teams and Zoom

Comfortable with working within a busy / fast paced IT environment

Agile and open to learn about ORIT services and staff

Utilize new technologies to automate manual processes

Audit and attend informational meetings and training (as needed)

Contribute and maintains departmental policies

Organize and maintain departmental repository

Partner with ORIT leadership on HR needs (on/off boarding, performance plans, hiring, payroll, allocations)

Workday and Finance experience needed for on-going billing and procurement requests (PCard, purchases, billing, budgeting, repairs and invoicing of large strategic capital and operational needs).

RESPONSIBILITIES:

Provides day-to-day operations and workflow at the administrative level including creating spreadsheets and agendas, sending out communications, supporting leaders as needed. Collect data and interpret data and create reports for leaders used to develop business plans.

Plan, implement, and support finance functions at the department level including distributing, collecting, compiling and/or entering materials for standard reports, budgets, expense reports, etc.

Plan, implement and support human resources functional needs including recruitment efforts, onboarding efforts, performance evaluation, management, compensation, benefits, etc. in concert with Human Resources Business Partner(s). May provide guidance and training for lower-level departmental staff.

Lead assigned portions of special projects including implementing procedures, problem solving, collecting, and providing updates to more senior leaders

Support department in space planning including office moves, equipment needs, etc.

Creates, audits, and maintains departmental documents including departmental policies and procedures. May support entering time for payroll submission and form submissions/approvals in support of time and labor needs.

QUALIFICATIONS:

Required:

Bachelor┐s degree in business administrative, finance, business management or equivalent

3 years┐ experience in a business operation or administrative role

Adept at learning new technologies to perform data entry, manage calendars, and create reports.

Proficient in Microsoft Office applications.

Strong time-management and organizational skills

Excellent communication skills both written and verbal
