Lab Project Manager - Provisioning

1 year FTC in Rixensart (potential for contract extension)

The PPD FSP Solution:

PPD's Functional Service Provider division partner with and serve as an extension of our PPD team, supporting our customers key functions. We cover customer needs on every level, allowing them to do more with less, with an uncompromising commitment to quality. We deploy the same top-tier talent in ALL engagement models. Joining within our PPD FSP functional area, allows you to join the renowned PPD CRO and still gain invaluable client dedicated experience

Manage the provision of equipment:

• Supports purchase requests (Opex, Capex, Services) made by customers

• Follow-up during the different stages of the order process (Approval, Release, Shipment, etc.)

• Delivery Tracking with the supplier

• Directs the customers to preferred suppliers

• Link between the different departments (Finance/Supply/ Procurement)

• Help with budget monitoring via SAP reports

• Spot check invoices for R&D shipments of non-GMP non-clinical materials

Business Continuity Planning

• Identify improvements areas: processes, disruption prevention, cost reduction

• Identify outsourcing opportunities

• Lead Process Improvement Initiatives

• Implementation of new KPIs and implementation of a new dashboard

Project management

• Planning/Organization of work: Workload distribution (Capacity management).

• Monitoring of Provisioning KPIs and creation of new KPIs related to the activity.

• Provides back-up to colleagues.

• Analysis of the customer need.

• Emergency Handling

Administrative management:

• Archiving / Traceability - complete management of dangerous goods (R015): creation, ordering, stock traceability, inventories, etc.

• Invoice tracking and dispute/return processing.

• Collect data (KPI) and edit statistics/reports (use of SAP, BI, Ariba, etc.).

• Handling complaints.

Rules and Procedures :

• Establish and update procedures, SOPs, WKIs, Standards related to Provisioning/Warehouse.

• To establish, in collaboration with EHS, the management rules for R015 and other hazardous chemicals.

• Interactions (Relational/Editorial), contacts with internal customers, Procurement, Finance.

• Regular contact with suppliers.

• Ensures regular and spontaneous reporting.

Knowledge management :

• Keep abreast of developments in the IT tools used: SAP, ARIBA, BI.

• Shares useful information within teams.

Requirements:

Education and Experience:

• Bachelor's degree or equivalent and relevant formal academic / vocational qualification

• Previous experience that provides the knowledge, skills, and abilities to perform the job (comparable to 3+ years).

Knowledge, Skills and Abilities:

• Project Management experience related to Provisioning is required

• Experience using ARIBA and SAP

• Analytics capabilities - familiar with Excel and Power BI for reporting and data analysis

• Experience in logistics/supply chain is preferred

• Fluency in English and French is essential
