Parkhill, Smith & Cooper, Inc. Event Planner - HR in Rio Rancho, New Mexico

PSC is seeking an Event planner who will arrange and facilitate special events and activitiesto support that process, administer its implementation, manage its maintenance, and facilitate its continued improvement. This person will be responsible for the details of events such as conferences, receptions, open houses, trade shows, business meetings, career fairs, luncheons, community events, employee events, virtual and other events. You will also conduct research, find venues, secure event space, and work with venue to plan, create, and revise room layout. Schedules speakers, vendors, and participants; and books entertainment. We are looking for someone who can create extraordinary, enlightening experiences for our employee and client communities. We need innovation, credibility and passion! You will be working collaboratively with HR, marketing, and firm Leaders from all PSC locations.

Essential Duties and Responsibilities

  • Makes arrangements for PSC Leadership Academy, PSCU, PSCU extension courses, New Employee Orientation, compliance and safety training and other events and meetings.
  • Arranges for food and beverage, samples food, selects chefs or catering companies to prepare selected food for event and sets menus.
  • Anticipates project needs, discerns work priorities, coordinates and monitors event timelines, and ensures deadlines are met.
  • Initiates, coordinates, and/or participates in all efforts to publicize event.
  • Assists in the design and editing of a variety of programs and promotional materials and works with print shop and marketing to develop these materials.
  • Arranges for audiovisual equipment, travel arrangements, event signage, and appropriate decor.
  • Prepares presentations.
  • Creates invitee list, sends out invitations, and manages RSVP lists.
  • Supervises and hires staff to help manage the event, including technical and security personnel.
  • Assists with preparing budgets, keeps track of event finances, and ensures budgets are adhered to.
  • Submits progress reports to management for each event project.
  • Coordinates event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations.
  • Keeps inventory of easels, markers, slide advancers, projectors, screens and other display materials.

Education and Experience

  • Bachelor's degree or equivalent from four-year college or five years related experience and/or training; or equivalent combination of education and experience.
  • 1 to 3 years of relevant experience.

  • Excellent organizational skills to prioritize tasks and meet deadlines.
  • Good analytical and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strongly detail oriented.
  • Strong in managing projects with multiple internal groups.
  • Proficient in Microsoft Word, Excel, Outlook, PowerPoint.
  • Experience with Bluebeam and Adobe Suite.
  • Cooperative, adaptable, practical and solution-focused.
