Where the team fits in:
The Team Assistant role is responsible for supporting both the GM for the Advertising & Value and the wider team. This role will support and ensure the smooth running of calendars & leadership team rhythms.
What you’ll be doing:
In this role you will support the General Manager and the leadership team in Advertising & Value by:
Full diary management & travel bookings, with an ability to quickly react to changes; ensuring you are elevating issues as they arise, ensuring visibility of high priority activities
Coordinate leadership teams and be an active participant; including but not limited to coordination, cadences, bookings, required documentation, minutes and agendas, meeting guests and preparing meeting rooms.
Provide admin support including team communications, PowerPoint presentations, invoice processing & purchase orders and assisting with relevant documentation.
Assist with planning and management of team activities, events, conferences, townhalls, offsites & celebrations with support from the relevant group Team Assistants.
Assist with implementation of key initiatives and major projects
Be the support for the team culturally, informing leaders of any noticeable concerns and communicating any team feedback
Continually looking for opportunities to develop and improve systems and procedures to maximise team efficiencies
Who we’re looking for:
Someone with a few runs on the board with prior experience supporting senior leadership
The ability to work autonomously, prioritise and work productively in a fast paced, agile environment
Proficiency in word, excel, powerpoint and canva would be a bonus
A technology guru! Guru might be a stretch, but you’ll need to know how to connect an international video conference with multiple locations, get the EGM’s laptop back up and running when it won’t cooperate, and navigate the expense system, or at least know who to ask for help to get the IT stuff done.
Communication! You’ll be communicating with everyone, verbally and in writing, including drafting correspondence and preparing complex reports. You’ll know how to be discreet and maintain confidentiality when it comes to handling sensitive information.
A proactive self-starter able to scope and deliver on key projects with little or no supervision
Experience organising team meetings, events and engagement activities for teams
Ability to manage & accomplish multiple projects within set timeframes and budgets with little supervision
Can adapt & juggle conflicting priortities
High attention to detail with strong written communication skills
Looks at tricky situations through a solutions-focused lens
Work productively in a fast paced and agile environment
