Pacific Northwest National Laboratory Senior Administrative Coordinator in Richland, Washington

Responsibilities

This position will support a full range of business and administrative issues by providing responsible, responsive, and confidential assistance to the four NSD Project Management Office Directors (PMODs). This position will report to the FIE Mission Support Group Leader within the FIE Operations Directorate. The incumbent is expected to act with mature judgment in analyzing communications flow, situational events, while taking appropriate actions and/or judging the referral or transmission of information to other team members, as required. The range of daily contacts includes project managers, financial coordinators and staff at all levels in NSD and throughout PNNL. Administrative support is provided such as calendaring, coordination of meetings and agendas, preparation of documents, coordination of travel and preparation of expense reports.

Key responsibilities include but are not limited to:

  • Primary responsibility is providing administrative assistance to the four NSD Project Management Office (PMO) Directors and their PMO Financial Coordinators (FC), and interface with the PMs within each PMO.

  • The incumbent routinely and efficiently manages calendars and e-mails, prepares and assembles materials for routine and recurring meetings, and maintains a high degree of responsiveness and flexibility to constantly changing priorities in order to maintain a cohesive, working team.

  • Maintain and coordinate a suite of PMOD activities.

  • Scheduling proposal calls and project reviews, as well as closeout reviews.

  • Capture and produce meeting minutes and actionable items for regular PMOD meetings with follow-up and tracking for deliverables.

  • Maintain PMO related documents and file structures for over 600+ projects. This will be done in partnership with the PMO FC’s.

  • Maintain/update NSD PMOD SharePoint site and Microsoft Teams channel.

  • Monitor NSD PMOD inbox.

  • Agenda creation, speaker alignment and scheduling of monthly TOR training in partnership with the NSD contracts office. Also maintains the NSD TOR Teams channel.

  • Coordinates monthly training program for PMODs and their succession candidates. Maintains Teams channel and training documentation.

  • Must have the ability to provide clear and succinct verbal and written communications, including editing or drafting new content.

  • Composes routine correspondence and e-mail, preparing correspondence and forms; maintaining an open exchange of information regarding policy and program changes.

  • Timely communications are regularly disseminated to all PMs and PIs.

  • Regularly drafts/prepares communications that are shared with all PMODs across PNNL as well as the NSD Leadership Team.

  • Expected to independently perform tasks while prioritizing conflicting work requests with limited supervision.

  • Develops working knowledge of processes, policies, procedures and practices related to the PMO.

  • Expected to have knowledge of the Lab and be able to develop a strong network across PNNL.

  • Provides suggestions for process improvements.

  • Responsible for Quarterly All NSD Project Manager meeting.

  • POC for PMs and PIs when questions around processes arise.

  • Must be able to demonstrate proficient use of standard office equipment; demonstrate proficient use of MS Office Suite; prioritize work, and coordinate calendars/schedules; be responsible for commitments and action items.

  • Must understand office support functions and possess the ability to apply procedures, work independently, and direct workflow of others as appropriate and effectively.

  • Must be able to identify potential administrative problems/areas for continuous improvement and recommend solutions.

  • Must be able to identify and elevate or defuse problems associated with the execution of a project management office.

  • Must be able to use discretion and good judgment; independently make decisions; positively interact with a wide-variety of PNNL staff and clients of all levels; provide training and guidance to less experienced or new staff/administrators when necessary.

  • Demonstrated ability to manage several tasks at any given time and deliver consistently high quality.

  • Schedules and manages secure conference rooms.

Qualifications

Minimum Qualifications:

  • High school diploma/GED and 8 years of relevant experience in an administrative environment -OR-

  • AA degree or higher and 6 years of relevant experience in an administrative environment.

  • Experience in planning meetings and coordinating travel

Preferred Qualifications:

  • Outstanding interpersonal skills with the ability to successfully interact with senior leaders across the Lab as well as with project leadership and teams.

  • Previous administrative experience supporting a team

  • Calendar management experience

  • Excellent verbal and written communication skills

  • Ability to remain flexible and adapt to changing priorities and environments

Additional Information

This position requires the ability to obtain and maintain a federal security clearance.

Requirements:

  • Background Investigation: Applicants selected will be subject to a federal background investigation and must meet eligibility requirements for access to classified matter in accordance 10 CFR 710, Appendix B.

*Drug Testing: All Security Clearance positions are Testing Designated Positions, which means that the candidate selected is subject to pre-employment and random drug testing. In addition, applicants must be able to demonstrate non-use of illegal drugs, including marijuana, for the 12 consecutive months preceding completion of the requisite Questionnaire for National Security Positions (QNSP).

Note: Applicants will be considered ineligible for security clearance processing by the U.S. Department of Energy until non-use of illegal drugs, including marijuana, for 12 months can be demonstrated.

Testing Designated Position

This position is a Testing Designated Position (TDP). The candidate selected for this position will be subject to pre-employment and random drug testing for illegal drugs, including marijuana, consistent with the Controlled Substances Act and the PNNL Workplace Substance Abuse Program.
