Overview
The National Security Directorate’s Operational Readiness Group ensures the operational readiness of global nuclear and radiological security missions through the stewardship of the following technical capabilities: instructional design, training and workshop development and delivery, and project management expertise. Our group mission is to develop and deploy training, resources, and management expertise to advance and sustain global security operations.
OR’s Programmatic Event Management & Coordination (PEMC) Team provides Training, Workshops, and Exercise (TWX) project management and logistics coordination, including event planning, scheduling, execution, and closeout. PEMC applies extensive knowledge of DOE and PNNL business processes and policies related to domestic and international programmatic events, and acquisition of event-related services and materials. Further, PEMC staff establish collaborative relationships with relevant PNNL operational support organizations to ensure efficient, cost effective and compliant execution of TWX events. The Logistics Coordinator position is responsible for assisting in daily coordination of TWX events including tracking progress as well as identifying and resolving obstacles. The Logistics Coordinator will communicate with internal and external clients. The Logistics Coordinator may perform some administrative tasks such as arranging meetings, developing agendas, and preparing progress notes or meeting minutes.
Responsibilities
The Logistics Coordinator contributes to PNNL through coordination of project logistics. Jobs on this hierarchy require specific expertise and knowledge of standards, practices and procedures typically acquired through specialized training and/or work-related experience and/or formal technical education. Jobs in this hierarchy are individual contributors and are responsible for the end results achieved through own work. The job family level is determined by the degree of expertise and judgment required by a specific job and the business need for a job.
Specific resposibilites for this role are:
Provide event logistics coordination support to national security projects.
Accountable to the OR PEMC Technical Team Lead and assigned PNNL Program and Project Managers.
Attend and contribute to pre-deployment coordination meetings with project managers, instructors, translation coordinator, and other support staff.
Identify and schedule all actions required to successfully deliver assigned TWX event materials (100 events executed per fiscal year). TWX Event schedules are set by federal sponsors and must be met.
Provide materials and logistical support for in-country TWX events:
Review requirements to determine if translations are needed
Ensure all materials have been through the PNNL approval process
Submit curriculum for translations in a timely manner
Prepare and build course materials
Submit materials for duplication
Review materials throughout process to ensure quality standards are followed
Coordinate international shipments with PNNL Export Control
Ensure training materials are complete prior to the course start date
Assist with conducting a final quality review of NSDD training material.
Conduct QA after materials are received from translations following established procedures.
Work with the translations coordinator to correct translated materials.
Must complete work in accordance with project schedules, often with competing priorities and demands.
Must team and work proactively with PNNL project staff, as well as staff from other DOE national labs and DOE Sponsor staff.
Qualifications
Minimum Qualifications:
AA degree and 8 years of relevant logistical support experience -OR-
High school diploma/GED and 10 years of relevant logistical support experience
Qualifying experience in planning and coordinating multiple meetings, trainings, and programs may be counted
Preferred Qualifications:
Demonstrated ability to work proactively with clients and to independently initiate and carry out new activities.
Event planning or coordination experience.
Experience with US Government or national security programs.
Demonstrated ability to work in a fast-paced environment with multiple interruptions while maintaining an approachable demeanor.
Ability to interact with diverse personalities, tactful, mature and flexible.
Use discretion and good judgment to resolve issues and positively interact with a wide variety of staff and clients of all levels.
Aptitude for learning various other computer/software programs.
