About the Role:
This position is part of the Global Shared Services Payroll Organization. It is responsible for leading and management of six Mexican payrolls located in Monterrey, Reynosa, Hermosillo, Nogales, Puebla and Mexico City with an accumulated average headcount of 10,000 FTEs. This includes the preparation, documentation and disbursement of the organization’s payroll; supervising the Mexican Payroll Teams; and ensuring payroll is delivered timely, accurately and efficiently.
Job Responsibilities:
Manages the Mexican Payroll Team to ensure the timely and accurate preparation and delivery of the six Mexican payrolls, located in different legal entities and cities.
Different Mexican payrolls: Five Union payrolls (weekly), Administrative and Sales Incentives (monthly), Christmas bonus , Profit Sharing, Management Bonuses, (MICP).
Calculate and prepare layoffs, (regular turnover and major headcount reductions) for the six legal entities.
Ensures all other voluntary and involuntary deductions are taken and accounted for throughout the payroll life cycle; to include (but not limited to) benefits, saving funds, garnishments, pension plans, special Government borrowings (FONACOT), etc.
Determine and control other payroll benefits like food coupons, grocery coupons, gasoline aid, etc.
Calculate and initiate the payments of the monthly payroll state tax of every legal entity.
Appropriate withholding of federal income taxes, social security, retirement (SAR) and Government housing program (INFONAVIT). Determine and initiate the payments of monthly payroll withholdings. Resolve discrepancies or issues that may arise with the appropriate Government Offices.
Responsible for SOX controls within the payroll organization and actively participates in audits (internal and external).
Responds to and manages all inquiries relating to payroll and payroll systems; acts as the main point of contact for payroll and interacts seamlessly with key stakeholders and partners.
Manages the team of Payroll Specialists through day-to-day activities, while providing guidance on activities and deliverables.
Mentors the team while providing growth and learning opportunities
Holds periodic 1x1 sessions with direct reports to ensure alignment with leadership expectations and throughout the organization.
Coordinates all activities relating to year-end, including annual returns and reconciliation with the Government Digital System, year end withholding tax adjustments, individual processing. Annual returns, and all other year end activities.
Provides customer and stakeholder support for issues that arise and develops a plan for problem resolution along with mitigation of issues on a go-forward basis.
Recommends, develops and implements changes to processes, procedures and workflows, leading to greater efficiency and accuracy throughout the Mexican payroll operations.
Manage 3rd party providers to ensure compliance with processes, requirements, laws and service expectations: food coupons, grocery coupons, gas aid, etc.
Drive the payroll service delivery model including ongoing vendor, process and system enhancements to ensure optimal performance in the delivery of payroll services
Serves as the focal point for payroll migrations and transition activities
Engages in the typical activities and responsibilities of a manager, to include planning, evaluating, organizing and integrating, while maintaining a focus on teamwork, communication and the change management process to be successful.
Supervisory responsibilities include staffing decisions, conducting performance evaluations, training and development, salary change recommendations, promotions, disciplinary actions (including terminations), etc.
Must be a hands-on, working manager, with the ability and willing to “get involved in the details”.
Performs other tasks/duties as assigned.
Minimum Requirements/Competencies:
Minimum of 5-6 years in Payroll, specially with the TRESS platform used by all Mexican entities, with 3-4 years of supervisory/leadership responsibilities.
Demonstrated leadership qualities
Strong process improvement skills
Ability to work in a fast-paced, deadline driven environment, with little supervision
Must be a customer-focused, results-driven leader with an emphasis on quality, detail and accuracy
Ability to drive results and customer service improvements through KPIs, metrics and benchmarking measurements.
Ability to influence team members, business partners and key stakeholders without authority.
Strong interpersonal and organizational skills
Ability to develop and deliver effective training to payroll staff
Educational Requirements:
Degree in business related discipline (Accounting, HR, etc.), or the equivalent of combination of education and work experience.
Strong knowledge of payroll taxes and social security obligations.
Labor Law knowledge desired.
Finance knowledge desired
