*Member Services/Finance Coordinator *Job Description

Reports to: President/CEO

Job Description: Responsible for performing internal accounting functions, office administration, and assisting with all activities related to member services and visitor center operation. Provide support to the President/CEO, Membership Development Director, Member Services and Communications Director and other team members for membership sales, product sales, membership programming and marketing. Keep accurate records of visitor information requests and member information. Handles all fulfillment requests for publications using bulk mail and physical delivery.

Essential Duties and Responsibilities:**

  • Expeditiously and accurately handle internal accounting functions, including accounts receivable and payable, producing reports and coding invoices using Quickbooks and ChamberMaster
  • Answer phones, greet visitors and fulfill publication requests
  • Provide administrative support to President/CEO, including but not limited to, financial reports preparation, member database management and facility management.
  • Enter new member data and manage database to ensure accurate and timely billing.
  • Attend member events and collect fees.
  • Prepare and make bank deposits.
  • Provide administrative support to Membership Development Director, Member Services and Communications Director, and other team members including, but not limited to, collections, membership correspondence, events, and record-keeping through member database.
  • Coordinate facility maintenance, and equipment and custodial supplies using inventory system.
  • Ensure publications are made ready for distribution and process accordingly for mailing/shipping.
  • Other duties as assigned

Qualifications and Requirements:

  • A 4-year college degree or equivalent work experience.
  • Outstanding interpersonal and team building skills. Must be customer service focused.
  • Proficient in Quickbooks, A/R, A/P
  • Computer Skills: Intermediate to Advanced Level Skills in Microsoft Office (Word, Excel, Outlook, and Power Point) and ability to become proficient in new software programs. Must become proficient using member database software ChamberMaster. Must be able to use social media effectively.
  • High level of creativity and strong problem-solving skills. Strong level of attention to detail.
  • A demonstrated ability to work independently and take initiative.
  • Must be able to work on numerous projects simultaneously and meet deadlines.
  • Ability to perform multi-level tasks and projects, troubleshoot, be flexible, think quickly and react positively.
  • Excellent written and oral communication skills.
  • Must be dependable, reliable and responsive to members, prospective members and others.
  • Must develop ability to effectively communicate organizations mission.
  • Strong organization skills; resourceful and proactive, energetic and self-starter
  • Flexible schedule; able to attend evening, morning and weekend events occasionally
  • Valid drivers license, personal vehicle and proof of liability insurance required to carry out duties
