We are looking for an Executive Assistant for the VP of Developer Engineering in the Xbox Experiences and Platforms Org. This fast-paced role involves supporting engineering teams building games, services, and devices. Reporting to the VP, the Executive Assistant able to excel in collaboration, judgment, organization, attention to detail, and managing multiple priorities. Handling confidential information with respect, integrity, and professionalism is crucial. The ideal candidate can work independently, respond quickly to urgent situations, and take effective action with limited information.

The Xbox Experiences and Platforms team is home to the engineering work that makes this vision possible, building the developer tools and services that enable game creators to craft incredible experiences, the commerce systems that connect publishers with their audience and help gamers engage with their next favorite games, the platforms on which those games play at their best, and the experiences that turn every screen into an Xbox

Responsibilities

  • Calendar Management: Maintain and organize the VP's complex daily calendar, ensuring accurate scheduling and prioritization of meetings and appointments.

  • Decision-Making: Make informed decisions on behalf of the VP to ensure meeting requests align with time management priorities and performance objectives.

  • Travel Coordination: Arrange domestic and international travel, including flights, accommodations, and on-the-ground logistics to ensure smooth travel experiences.

  • Budget and Expense Management: Oversee budgets and expenses, ensuring compliance and timely processing.

  • Event Coordination: Schedule and organize staff meetings, All Hands, events, and offsites, including venue selection, meeting details, and material preparation.

  • Team Support: Assist with headcount management, budget tracking, morale events, distribution list management, and other team-related tasks and projects.

  • Office Management: Manage space coordination, new employee setup, and procurement of goods and services, including computer equipment, office supplies, reference materials, and facility requests.

  • Relationship Building: Build and maintain business relationships with administrative staff both internally and externally.

  • Collaboration: Work as part of a collaborative Gaming admin team to manage the needs of the overall organization, ensuring seamless support for the VP and the team.

Qualifications

Required Qualifications:

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management

  • OR equivalent experience

Preferred Qualifications:

  • Organizational and interpersonal skills are important.

  • Work effectively under pressure and within tight deadlines.

  • Ability to prioritize tasks, complete projects on time, show initiative, and maintain confidentiality.

  • Detail oriented, capable of managing complex plans and schedules, and responding promptly to urgent situations.

  • Proven ability to work well in a team environment, build effective relationships with internal and external collaborators, and adapt to diverse working styles and perspectives.

  • Proficiency in Microsoft productivity software (Word, Outlook, Excel) and familiarity with internal applications such as Employee Central, iCIMS, MSExpense2, MS Space, MyOrder, and internal travel tools.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $28.46 - $48.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $39.76 - $55.67 per hour.
