Role:
The Executive Assistant is responsible for providing comprehensive support to the CEO and the Executive Management Team and managing the office operations. This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Essential Functions and Responsibilities:
- Produces and compiles reports, minutes, presentations and briefs for Executive Committee, Board Meetings, and other meetings.
- Manages aspects of the organizations office services; evaluates and assists in developing office procedures for improved workflow; assists in the selection of vendors, services, and supplies necessary for operation.
- Coordinate meetings and events; including registration, logistics, securing venue, catering, preparing materials, and confirming participant reservations and attendance.
- Maintain various records and documents for company executive(s).
- Drafts, reviews, and sends communications on behalf of company executive(s).
- Completes projects by assigning work to appropriate staff.
- Serves as office manager; replenishes and maintains office materials such as printer supplies, paper, etc.
- Facility liaison working directly with the Property Manager for projects.
- Admin for online resources ensuring content and appropriate access.
- Make travel arrangements and complete expense reports.
- Answers phone and responds to inquiries.
- Maintains calendars, arranges meetings and schedules appointments.
- Processes and distributes daily mail.
- Other projects/duties as assigned.
Performance Management:
- Make appropriate, informed decisions regarding priorities and available time.
- Ability to complete a high volume of tasks and projects with little or no guidance.
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
- Able to maintain a high level of integrity and discretion in handling confidential information.
Knowledge, Skills and Abilities:
Education and/or Experience.
- High school degree or equivalent.
- Minimum five years of experience as an executive level assistant.
- 3+ years of secretarial, administrative assistant, office services experience supporting various management levels preferred.
- Advanced skills with MS Office Suite.
Interpersonal Skills.
- Must have excellent interpersonal, communication (both written and verbal), and telephone etiquette skills.
- Provide high level of customer service using professionalism, confidentiality, and good judgment.
- Exceptional organizational, planning, and time management skills and impeccable attention to detail.
- Event coordination skills.
- Capacity to work independently and with a team on projects.
- Customer focused; dealing with all levels of employees and visitors.
