The Senior Records Analyst is responsible for compliance of the records and information management (RIM) policy i.e., accountable for the inventory and control of a company’s business records. This position is responsible for communicating and training end users on records management standards and best practices, and enforcing current RIM policy and procedures. In addition, this position provides the leadership necessary to establish and enforce records management policies and provides direction for project work.

The scope of this position includes, but not limited to, responsibility for the following records management activities: provide customer support, receive and process work orders, monitor service level agreement compliance and maintain processes and procedures.

Assumes responsibilities for the records management program compliance

  • Educates customers on program compliance, which includes customer training and new department set-up.

  • Identifies process improvement opportunities for the retention of information and records for assigned locations.

  • Identifies non participating customer entities, and works with business leadership to administer standard policy and program compliance.

  • Monitors customer’s business initiatives to assess impact on business records management requirements.

Assumes responsibilities for records management program administration and coordination

  • Maintains accurate records and responds in a timely manner to all work orders for all customers’ records according to company record retention policy.

  • Maintains records management processes and procedures for assigned locations.

  • Receives and responds to all Work Orders (WO) in accordance with the Service Level Agreement (SLA).

  • Administers and maintains records destruction process for customer assigned locations.

  • Monitors SLA's for compliance.

  • Monitors records database to ensure accuracy of data entry, storage and destruction.

  • Coordinates collection and distribution of necessary information for assigned business units, including activity levels, Iron Mountain district contacts, authorized users, workflow data, etc.

  • Assists Records Manager with driving overall program improvements for assigned locations.

  • Acts as a resource to district personnel regarding customer issues, attend meetings, and interface with departments as appropriate.

  • Provides overall management and administration of customer's program.​

Assumes responsibilities for electronic records management systems administration and coordination

  • Support system implementation in compliance with RIM requirements.

  • Respond to all WO's via customer's Computerized Maintenance Management System (CMMS)

  • Initiates all shredding, storage, and reactive work through CMMS

Assumes responsibilities for communication

  • Provides day-to-day internal service-level management of customer locations, including account communication and ongoing problem resolution, but not limited to, invoicing, district service level issues, implementation, initial transfers, etc.

  • Provides customer support via email, phone or in person, i.e., logistic and procedural support, enforce standards and promote best practices.

  • Presents ands defend viable recommendations from data collections, research, and analysis.

  • Proactively communicates with stakeholders, via email, phone calls, and visits to enhance the Iron Mountain relationship; perform issue-resolution visits, and scheduled follow up meetings.

  • Interprets and respond timely to service issues.

  • Provides monthly SLA/metric reporting, destruction certificate/documentation and visit profiles.

  • Emails proof of delivery to customer

PERFORMANCE MEASUREMENTS…

  • Improvement in customer’s compliance with their records retention policy.

  • Good coordination and effective working relations with other departments and managers.

  • Ability to work within the organizational structure.

  • Effective teaming within the account team that supports the customer.

  • Customer retention.

ESSENTIAL JOB FUNCTIONS…

  • Assess records policy and create or update as appropriate, includes understanding when it is appropriate to partner with business leaders, compliance officers, and Records Manager to obtain the appropriate input.

  • Identify process improvements and best practices for a compliant records management program.

  • Build external and internal relationships.

  • Identify and respond to current records management issues.

EDUCATIONAL & EXPERIENCE REQUIREMENTS…

  • A bachelor’s degree is preferred.

  • A minimum of two (2) years of college with specialized course work in Records Management and Business Law, and two (2) to four (4) years of equivalent work experience in an active records environment is preferred.

  • A thorough knowledge of retention guidelines and relevant IM technology applications for information retention is required.
