Description

We are looking for a highly organized and responsible Office Clerk to perform various administrative and clerical tasks and help our office operate smoothly. An effective Office Clerk has the ability to multitask, meet deadlines and understand priorities in accordance with company goals. The successful candidate will ensure the efficiency of office operations, handle receptionist duties, and complete office tasks assigned in a timely manner.

Responsibilities:

  • Receptionist Duties: Answer and transfer incoming calls, and take and relay messages accurately and swiftly.

  • Weekly Dumpster Tickets: Scan, save, and organize copies of dumpster tickets received from truck drivers in the appropriate job folders.

  • Project Startup Tasks:

  • Creating and organizing job books and foundation tasks.

  • Updating Raken, project lists, and billing sheets.

  • Setting up project folders.

  • Project Closeout Tasks:

  • Scanning and saving job books.

  • Updating project list information.

  • Scanning and saving relevant paperwork from yellow job folders when necessary.

  • Assist with Accounts Payable (AP) invoice scanning to ensure accurate and timely processing of payments.

  • Provide support to Project Managers with various office tasks like scanning documents, laminating paperwork, and data entry tasks as needed.

  • Catch Up Work will involve the following:

  • Job Books: Scan, save, and organize old books and create backstock of blanks with new versions for future use.

  • Yellow Folders: Scan, save, and sort old folders.

  • Reseller Permits: Update excel sheet with permit numbers.

    Requirements

Requirements:

  • Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.

  • Strong communication skills, both verbal and written.

  • Previous experience in an office or administrative role is preferred.

  • Excellent organizational and multitasking abilities.

  • Proactive problem-solver with strong attention to detail.

  • Ability to work independently and as a part of a team.

  • High School diploma or equivalent.
