Description of Job

This position provides support for the Mail/Prep Operations Unit.

  • This position will train new employees in equipment operation, correct operating procedures as well as the correct prepping procedures per job.

  • This position will operate and maintain all mail equipment including the X-ray machine as well as the Agissar equipment. Duties will also include preparing documents, hand inserting, collating, sorting, specific sorting, weighing and labeling.

  • This position is also responsible for quality control of the work in the unit by both state and temporary employees.

  • This position is responsible for data entry, on-line and imaging services to the City/County/State Government. This service is accomplished by using data entry and imaging equipment, automating paper forms from the IDS site or connecting to customer databases, networks, or Websites.

  • This position will train employees and advise others on how to use processes both external and internal for new projects.

  • This position is responsible for preparing documents according to guidelines and procedures set by the customer to prepare them for scanning.

    A summary of the duties and responsibilities will include, but are not limited to, the following:

  • Production- Duties will include preparing documents, hand inserting, collating, sorting, specific sorting, weighing and labeling. This position is responsible for training state and temporary staff on the prep process for each job they are working on. This position is responsible for expediting work to all team members on the prep floor. This consists of logging the staff into the Agissar system, logging the job and correct barcode and delivering and gathering all their completed work at this time. This position will operate and maintain all mail equipment including the X-ray machine as well as the Agissar equipment.

  • Quality Control/Training and Growth- This position is responsible for training state employees and temporary staff on the prep procedures for each job. This position is responsible for monitoring the quality of the work they process as well as quality checking the work of other team members. To ensure that the work is being processed at the highest level of quality this position must follow the IDS

Mail Operations quality guidelines and procedures for each customer. Also, provide feedback to the supervisor regarding quality control checks.

  • Prep Scan Jobs- Assist Scan with prepping various documents in accordance with the processes and procedures that have been outlined in the scan notes. Must maintain the production standards set forth for each job assisted on. Additionally, the employee must follow any privacy agreements outlined by each individual customer.

  • Data Entry/Image Verification/Online Services - This position is responsible for prioritizing and monitoring the workload and keying Department of Revenue, Secretary of State, and other projects as deemed necessary by the business needs.

  • Record Keeping/Kronos- Follow all Rules and Regulations concerning attendance. Attendance is very critical during our Peak Season each year in this production environment. Record time worked on all projects for Billing and Attendance purposes.

MINIMUM QUALIFICATIONS

Experience Only:

At least three (3) years of relevant experience preparing documents for scanning in a production environment.

OR

Education and Experience:

A combination of related education and/or relevant experience preparing documents for scanning in a production environment equal to at least three (3) years

The exceptional candidate will possess the proven ability or accomplishment in the following preferred qualifications:

  • Previous State Service related to the work assigned to the position

  • Strong attention to detail.

  • Experience in a fast-paced environment

    Conditions of Employment:

  • A pre-employment criminal background check will be conducted as part of the selection process.

  • Department of Revenue Tax Check

  • Shift Work: Must be able to work 1st, 2nd or 3rd shift
