Position Information

Position Title Administrative Coordinator

Overview

Provide administrative support for the day-to-day operations of the Office of the Registrar.

Essential Duties:

  • Work with the Associate Registrar and academic department chairs to build all term course offerings. Review course offerings to ensure accuracy and communicate with the academic department chairs when changes need to be made. Assist in coding all course changes in Banner – addition or deletion of pre-requisites, core designations, major or class restrictions, update course descriptions, archive courses, re-instate courses, ensure changes are correctly coded on the courses and/or sections regarding special fees, student major restrictions, or student class restrictions.

  • Serve as primary point of contact for ad-hoc academic space requests via the CollegeNet 25Live system. Work with academic departments and campus stakeholders to ensure proper permissions to hold events on campus are received and approvals protocols have been followed accurately and promptly.

  • Manage office budget lines by processing purchase requisitions, payment vouchers, and ordering of office supplies. Responsible for hiring, training, and managing the work and schedules of student workers including special projects.

  • Respond to in-person, telephone, and email inquiries about the registration process including adding/dropping courses, submitting payment and any other student or faculty processes.

  • Create and register students in the study abroad placeholder courses for each term.

  • Create the college paper calendar for campus-wide distribution. Print unofficial transcripts on demand, change grades, process course withdrawals, etc.

    Marginal Duties:

  • Perform all other duties as may be required.

    Education and Experience Required

  • Associate’s degree from an accredited institution is required. A bachelor’s degree is preferred.

  • Three to five years of work experience in a post-secondary, customer service focused office.

  • Experience with Ellucian Banner student information system, Microsoft Access and Excel, and Apex applications is preferred.

  • Ability to use good judgement, communicate effectively, and work independently.

  • Ability to juggle multiple tasks and establish priorities.

  • Excellent organizational skills and attention to detail.

  • Keen sense of confidentiality.

  • May require occasional evening or weekend responsibilities.

    Employee Status Full Time

    Salary Grade 17 (Min. $21.15/Mid. $27.50/Max. $33.85)
