University of Maine System YourPace Admissions Specialist/Document Processor in Presque Isle, Maine

The University of Maine at Presque Isle is seeking an Admissions Specialist/Document Processor to be a part of a dynamic and innovative team that provides proactive, student-centered support to adult graduate and undergraduate competency-based education (YourPace) prospects and applicants.

The primary responsibility of the Admissions Specialist/Document Processor is to process submitted applications and supporting documentation as well as interact with prospective students at key points in the admissions process (from inquiry to enrollment). This position will also assist with updating student status in various platforms (MaineStreet and Salesforce), answering calls to YourPace Admissions, and accurately conveying information to applicants.

This position works closely with all members of the UMPI Admissions team.

Training and other events may require travel to the University of Maine at Presque Isle. Work hours are within 8:00-4:30 EST or as determined by the Executive Director of Enrollment Management and Admissions. The direct supervisor will determine if the roles and responsibilities of the position can be efficiently and successfully met exclusively online or must be on location without significantly compromising teamwork, collaborations, and partnerships. Work locations and schedules will be determined during the onboarding process and periodic reviews will identify potential changes to remote work options.

Based on the qualifications and experience of the successful applicant, the salary is $43,888.00 plus a 10% employer contribution to the UMS retirement plan. Key Responsibilities include (not limited to):

  • Prepare applications and supporting documents for formal review.

  • Log the receipt of application documents in a timely manner and in accordance with departmental procedures.

  • Understand admissions-related policies in order to determine if additional documents may be needed from the applicant.

  • Track student progress through the admissions funnel by using a variety of software applications: MaineStreet, ImageNow and Salesforce.

  • Assist in the monitoring of the YourPace email account and respond to questions from prospective students, applicants, and current students.

  • Provide regular communication to applicants, in the manner they request (email, text message or phone call), in order to inform the applicant of the necessary requirements to complete their application.

  • Use Salesforce and MaineStreet to generate data about applications and use that to guide daily work.

  • Matriculate students and inform them of next steps in the process toward enrollment.

  • Provide feedback about the application process to the Admissions Team and make recommendations for improvements and efficiencies.

    Position Requirements:

  • Basic computer skills including the use of multiple software applications simultaneously, Microsoft Office suite, Google applications, and communication technology (e.g., Zoom).

  • Bachelor’s Degree or equivalent, relevant experience in admissions, tutoring, counseling, customer service, marketing or sales.

  • Strong interpersonal and communication skills (both oral and written).

  • Attention to detail and the ability to multitask.

  • For remote work, proof of a stable, reliable internet connection of not less than 25mbps is required. Hotspots are not acceptable for this position.

  • Completion of a Remote Work Agreement Form.

    Knowledge, Skills, and Abilities: An outgoing, positive, professional manner; strong listening, and written and verbal communication skills; ability to connect, motivate, and inspire people; perseverance; attention to detail; excellent organizational skills; ability to relate to a diverse pool of prospective students with tact, diplomacy and discretion; ability to manage multiple projects; flexibility to work both independently and as part of a team; and computer literacy required. Proficiency in MS Word, Excel, Gmail and recruitment software preferred. Related sales or marketing experience preferred.

    Required Qualifications: Minimum of a Bachelor’s degree or related experience, skills and abilities outlined above.
