ADP Facilities Manager CZ+SK in Prague - River Garden, Czech Republic

You will be responsible for managing all aspects of ADP offices and building infrastructure across Czech Republic and Slovakia. Supporting ADP leaders and associates with office operations, providing a high quality and pro-active service, effective communication with stakeholders, peers, vendors, other tenants resulting in a high level of internal client satisfaction.

Responsibilities

  • Responsible for managing all offices located in Czech Republic and Slovakia

  • Motivate a team of associates and/or contractors through effective management and personal development

  • Manage and monitor third party suppliers to deliver high quality Facilities services, like; reception, cleaning, security guarding, catering/vending, mail/postal, equipment maintenance, waste.

  • Manage office space utilization (analysis of available space, optimization of its use, layout of workstations, changes of working practices).

  • Manage company fleet cars and -mobile phones.

  • Contracting and onboarding new vendors and services (Facilities and non-Facilities).

  • Ensure compliance with legislative, health & safety and environmental requirements, including all contractors who come on site.

  • Responsible for maintaining and implementing an emergency response policy for the managed sites.

  • Develop annual Facilities budgets (within ADP’s planning process), monitor purchase orders and invoices to keep actual costs within budget.

  • Raise and coordinate approval of purchase requests in ADP’s Procurement system for office related products and services.

  • Work closely with ADP’s Security team (GSO) on ADP’s Access Control and CCTV systems, reporting any known faults as quickly as possible.

  • Work closely with ADP’s IT team (GETS) on IT equipment installation and changes requiring electrical or mechanical works.

  • Work closely with ADP’s Finance team on budgeting, financial approvals and cost tracking.

  • Work closely with ADP’s HR and Legal teams to ensure the managed sites are compliant with local legislation, building regulations and best practice at all times.

  • Work closely with ADP’s crisis management team in the event of a crisis impacting any of the managed sites, to support affected ADP associates, contractors and properties.

  • In offices where ADP does not have a Facilities resource on site, work with other teams on site to provide Facilities support, services and make changes.

  • Implement International Facilities projects and processes as required

  • Implement and support global and local Sustainability initiatives

Requirements

  • 5 years of experience in Facilities related positions

  • Bachelor’s degree, preferred within Facilities and Real Estate Management

  • Occupational health and safety qualification preferred

  • Good knowledge of Microsoft Office (outlook email & calendar, word, excel, etc.)

  • Highly organized with the ability to juggle multiple tasks while managing your time efficiently

  • Ability to lead local team

  • Ability to communicate at all levels within ADP in a professional manner

  • Proactive with a “can-do” attitude

  • Confident and willing to deal with challenge or new tasks in a fast-changing organization

  • Willing to learn and undertake new responsibilities

  • Be comfortable working to tight deadlines and with people based in other locations / countries when needed
