Berkshire Heart and Mind Therapy Executive Office Assistant in Pittsfield, Massachusetts
We are a mental health group practice located in Pittsfield, Massachusetts, seeking a highly organized and detail-oriented Executive Office Assistant. The successful candidate will be an integral part of our administrative team, adept at multitasking and providing comprehensive support to our executive staff in a fast-paced environment. Responsibilities: Communication Hub: Serve as the primary point of contact for the office, managing calls, inquiries, and ensuring effective communication flow. Organize and schedule staff schedules, meetings and events, including room bookings, invites, and agenda preparation. Information Management: Maintain accurate and efficient filing systems and keep contact lists up-to-date for seamless communication. Logistics and Support: Manage the procurement of office supplies and ensure cost-effective resource management. Client Care: Provide a welcoming presence for visitors and manage client appointments with precision using scheduling software. Executive Support: Coordinate executive schedules, prepare and organize documents, and assist with financial tasks such as billing and bookkeeping. Maintain confidentiality of sensitive information. Qualifications: High school diploma or equivalent; an associate\'s or bachelor\'s degree is preferred. Proven experience as an Administrative Assistant, Virtual Assistant, or similar role. Proficiency in MS Office Suite, particularly MS Excel and MS PowerPoint. Familiarity with EHR platforms used for billing and client records. Strong organizational skills and the ability to manage multiple tasks. Excellent communication skills, both written and verbal. Being bilingual is highly preferred but not required. Experience with advertising with social media, website design, grant writing and or medical credentialing are a plus but not required. Additional Requirements: I-9 documentation and a valid state ID.
