Special Projects Coordinator
The School of Education Dean's Office is hiring a Special Projects Coordinator to handle administrative tasks, manage special projects, support school-wide events, and enhance outreach efforts. Reporting to the Executive Assistant to the Dean, this coordinator will provide support for initiatives such as the Transfer Pathways Summit, Community Transfer Scholars' Program, Summer College Access Programs, the Dean's Ignite Speaker Series (e.g., arrange housing, travel, and other logistical arrangements) etc. The role involves working closely with the SOE communications and marketing unit for event promotion, conducting program evaluations, and serving as a liaison with internal and external stakeholders. In addition to providing programmatic and project support, the coordinator will assist in planning networking events, partner engagement and community building activities. Monitoring program development, timelines, and communication are expected. Maintaining calendars and scheduling of activities and events for various programs; as well as participation in SOE and campus committees, community events, meetings, and affiliated activities. Candidates should be proficient in Microsoft Office and Google G-Suite, possess strong interpersonal, organizational, analytical, problem-solving, verbal and written communication skills; and demonstrate an understanding of organizational operations and problem-solving abilities. They must align with the school's values of integrity, equity, and excellence, and be able to work effectively with diverse faculty, staff, students, and community partners. The ability to manage multiple projects simultaneously, to meet deadlines, understand and follow directions, pay attention to detail; keep and maintain accurate and detailed reports and records. Ability to work with sensitive information, maintain confidentiality and use discretion.
High School Diploma/GED and a minimum of 2 years of experience required
Preferred Qualifications:
Bachelor's degree in Education, Psychology, Sociology or a related field
3-5 years of project-based work is preferred.
Job Summary
Serves in an administrative capacity and provides administrative support to the project manager and other team members. Assists with fiscal management and compliance with federal regulations and the contracts. Manages day-to-day office operations and interacts with key stakeholders.
Essential Functions
• Serves in an administrative capacity and provides administrative support to the Dean's projects and other members of Dean's office Senior staff. • Assists with managing the budget of events and projects. • Interacts with key stakeholders. • Manages daily office operations (responding to and sending correspondence, note taking, maintaining office calendars, scheduling meetings, processing orders), making reservations and travel arrangements, and handling other tasks.
Physical Effort
Position requires meeting with faculty, staff, and students in other parts of the building and throughout the campus as well as off campus. Mostly a sedentary position. Computer work is required. Light lifting, pushing, and pulling could be needed (less than 25lbs) for events or other activities.
