Senior Executive Assistant

  • Acts as the project lead under minimal supervision for executive and administrative functions and supervises team. Serves as liaison regarding human resources matters. Provides administrative support to Vice Provost for Student Affairs.
  • Work closely with VPSA to move tasks forward and prioritize projects

  • Assist with project timelines and ensure deadlines are met by following up with staff and providing necessary support.

  • Organize and streamline communication related to projects, flagging any issue with productivity and assist with developing solutions.

  • Prioritize and manage complex scheduling for VPSA, ensuring efficient time management and minimizing conflicts.

  • Coordinate and communicate with OTC, OTP and other campus partners on high level matters

  • Exhibit strong written and verbal communication skills and communicate effectively around sensitive matters, maintaining confidentiality and professionalism at all times.

  • Handle challenging interactions with people and situations, employing problem-solving skills and maintaining composure

Essential Functions

Acts as project lead under minimal supervision for executive and administrative functions, including planning, coordination, scheduling, problem solving, supply ordering, administrative reports, and correspondence. Ensures office runs efficiently and effectively. Oversees development and management of division budgets, including development direction, budget monitoring, reviewing budgetary reports and projections, authorizing expenditures, and ensuring budgetary practices comply with all University's budgetary policies and procedures. Organizes and prepares budget analyses, reports, and projections on a regular and ad hoc basis. Supervises staff, which includes hiring, distributing and reviewing work, performance reviews, and documenting disciplinary actions and other human resource administration. Manages work schedules and approves timecards. Provides professional development opportunities. Serves as liaison to Human Resources. Serves as a resource to management team in related human resources matters; ensures compliance with all University and Human Resources activities. Provides administrative support to Vice Provost for Student Affairs, including prioritizing meetings/conferences, appointments, preparing materials meetings, preparing documents/collection and analysis of information, marketing of programs and events, planning collaboration. Composes and prepares routine correspondence and marketing materials. Proofreads materials for accuracy, completeness, and compliance with departmental policies. Physical Effort

While the work is focused in the Student Affairs Central Office, the position requires routine mobility within the office, the building and around campus. Incidental lifting light items is required about 25lbs.
