JOB DESCRIPTION SUMMARY Under the supervision of the Title Programs Coordinator, the Secretary II, Title Programs is responsible for providing a high level of administrative support to the Title Programs Office.
WORK MONTHS 12 Months
ESSENTIAL FUNCTIONS 1. Conduct clerical functions that support the operations of the Title Programs Office.
2. Maintain the Title Programs Office budget by transferring funds when needed, monitoring budget expenditures and balances.
3. Work collaboratively with school level Secretaries, FACE Coordinators and other school level staff regarding parent volunteer clearances by responding to and facilitating all requests and inquiries.
4. Participate in annual Title I monitoring as needed to support the Title Programs Coordinator.
5. Purchase equipment and supplies, submit invoices, enter requisitions, mileage reimbursements, and complete travel requests.
6. Assist with material preparation as needed, for meetings and workshops.
7. Provide support in acquiring required documentation from schools (Parent and Family Engagement Policies, School-Parent Compacts, Annual Title I Meeting Info etc.).
8. Maintain meticulous filing systems by conducting management, routine maintenance, and auditing of digital and hard copy files, documents, and folders.
9. Provide administrative support by composing, copying, scanning, and assembling mailings and documents for distribution.
10. Distribute correspondence (memos, email, letters, mailings, etc.) to various entities.
11. Assist in creating presentations, running reports and monitoring information that supports the workstreams of the Title Programs Office.
12. Serves as the initial point of contact for the Title Programs Office internal and external stakeholder inquiries.
13. Ensure and maintain confidentiality of sensitive information, decisions, and communications within the department.
14. Document various processes within the department and recommend improvements.
15. Participate in departmental and individual planning and goal setting.
16. Communicate effectively and confidently at all levels- over the phone, face-to-face and by email -- while providing a high level of customer service.
17. Other relevant duties as assigned by supervisor in support of the Title Programs Office goals and objectives and the District's mission and Superintendent's Priority Goals.
EDUCATION REQUIRED High School Diploma or GED (General Education Development)
CERTIFICATION/LICENSURE REQUIRED N/A
YEARS OF EXPERIENCE Varies based on the needs of the department
KNOWLEDGE, SKILLS, & ABILITIES - A high school diploma or equivalent.
Demonstrated proficiency in Microsoft Word, Excel, Outlook, and PowerPoint. (Munis experience preferred)
Excellent verbal, written and interpersonal communication skills.
Experience managing, reviewing, entering and manipulating data in Excel.
High attention to detail, capacity to solve problems, to stay organized and manage multiple priorities.

CITY OF PITTSBURGH RESIDENCY REQUIREMENT This position requires individuals to live in the territorial boundaries of the School District of Pittsburgh. If hired for this position you will be required to establish residence within three calendar months of your hire date with Pittsburgh Public Schools.
