Job Title: Office Manager and Event Coordinator
Job Description
Provide direct support to the Group Leaders, VP, and Division VP. Manage, schedule, and arrange meetings using Outlook Calendar. Maintain an organized and stocked office environment. Be a positive resource, creating and maintaining internal and external relationships. Receive guests and coordinate conference room setups for meetings. Distribute mail, monitor stock, and order office supplies. Book travel and hotel arrangements for visitors.
Event Planning:
Organize volunteering and philanthropic events
Track group memberships, renewals, and participation
Plan group events such as holidays, business meetings, and family gatherings
Coordinate group meetings
Manage ticket distribution
Organize recruiting events including career fairs and on-campus events
Pack recruiting bags for career fairs
General Accounting:
Track and submit group payroll
Process credit cards for the group
Utilize CMiC accounting system for miscellaneous tasks
Maintain annual budget for group events and sponsorships
Project Invoicing:
Assemble owner invoices and audit monthly costs
Work with subcontractors to gather invoice documentation
Submit and code invoices in the accounting system
Track DEI and Detroit EO data
Upload legal documents into CMiC
Maintain EEO log for projects and submit annually
Create and submit subsistence packages for out-of-town projects
Recruiting/New Employees:
- Coordinate first-day orientations and communicate logistics for new employees and interns

Job Type
This is a contract to hire position. We are looking for a long term and full time employee to join our team.
Work Site
This is a fully on-site position in Pittsburgh, Pennsylvania. North Shore Area.
Work Environment
In-office 5 days a week on North Shore. 40 hours per week from 8:30 AM to 5:00 PM.
