UPMC Office Assistant II - Senior Care Institute in Pittsburgh, Pennsylvania

Join the team at UPMC Shadyside's Senior Care Institute as an Office Assistant II, where you'll play a vital role in ensuring the smooth operation of our clinic. Enjoy a Monday through Friday schedule with convenient shifts from 7:30-4:00 or 9:00-5:00—no weekends or holidays! In this position, you'll be responsible for identifying patient information and records, scheduling and rescheduling appointments, and providing a warm welcome by greeting and registering patients upon their arrival. You'll maintain a clean and organized waiting area, screen incoming calls, manage messages, and assist with processing copays as needed. Your exceptional organizational and communication skills will ensure an outstanding patient experience and contribute to the success of our team!

Responsibilities:

  • Verify necessary information and records in the medical record and computerized scheduling system.

  • Prepare patient charts for upcoming appointments.

  • Completes necessary paperwork such as encounter forms and referrals.

  • Use computer system to generate information necessary for billing.

  • Answer questions regarding patient appointments and testing.

  • Inform appropriate department/person of person's arrival performing appropriate check-in and check-out functions.

  • Assist with inpatient billing process.

  • Assist physicians with transcription and dictation issues/concerns, and review process for accuracy.

  • Process medical records release requests.

  • Identify stock levels of office supplies and assist with ordering/inventory management.

  • Maintain and update current information on physician's schedules ensuring that patients are scheduled properly, and appointments are confirmed.

  • Answer telephone, screen calls, take messages and provide information in a courteous manner.

  • Schedule diagnostic testing and obtain insurance authorizations, verifications, and referrals in a timely fashion.

  • Utilize appropriate modules of the automated financial management system for scheduling, information verification, entering charges, co-payment collection/ reconciliation and other tasks.

  • Schedule, coordinate and reschedule patient appointments.

  • High school diploma or GED.

  • Three years of work experience, preferably in a medical office setting.

  • Knowledge of medical terminology preferred.

  • Word processing and computer experience required. Licensure, Certifications, and Clearances:

  • Act 34
