UPMC Manager, Business Ops-Energy in Pittsburgh, Pennsylvania

UPMC Corporate Administrative Services is hiring a Manager, Business Ops- Energy to join our team! This role will work Monday through Friday during daylight business hours. After the first six months, the individual will have an opportunity to work from home one day a week.

The Manager will participate in the system utility management and day-to-day operation of the Energy and Environmental Engineering/ Affairs Department and provide administrative support to the Senior Director and System Energy Coordinator. As well as managing the utility billing and tracking, coordinate workflow accordingly. The role will organize special projects; act as a liaison with related Energy and Environmental Engineering/Affairs components. The Manager will be assisting in developing and maintaining a congruous departmental operation for the Energy and Environmental Engineering/Affairs Department. The role also implements ongoing functions with minimal direction.

Responsibilities:

  • Ensure Senior Director and System Energy Coordinator schedules are maintained to ensure maximum use of time.

  • Prepare miscellaneous reports and correspondence for the Senior Director and Systems Energy Coordinator.

  • Prepare travel arrangements for the Senior Director and Systems Energy Coordinator.

  • Implement office procedures and quality control mechanisms.

  • Coordinate day-to-day workflow and adjust office priorities to meet the needs of the department.

  • Work with Senior Director and Systems Energy Coordinator to : .a) Prepare and process general correspondence, i.e., forms, reports, policies and procedures, etc.b) Develop and maintain project files.c) Order supplies

  • Keep abreast of departmental and UPMC policies and procedures.

  • Notify Senior Director and appropriate personnel when changes/discrepancies occur.

  • Maintain diplomacy and confidentiality in all communications.

  • Assist Senior Director in developing overall staff needs including hiring, discipline and terminations.

  • Serve as a role model of service excellence for the institutions by providing quality services that are responsive to client needs, proactive in scope and accessible in nature.   • Prepares e-pro reqs and vouchers for the Energy and Environmental Engineering/Affairs Department.

  • Assist with administrative activities, including electronic expense reporting and other areas, under the direction of the Senior Director as necessary.

  • Complete projects as assigned and perform other related duties as needed.

  • Follow-up on unpaid invoices through People Soft and Accounts Payable.

  • Maintain and manage utility information for the system's hospitals and auxiliary units. a) Assist in the procurement of energy for the hospitals; prepare and analyze energy bids. b) Assist in preparing the fiscal year utility budgets totaling $100 million a year.c) Analyze energy usage, utility bills and costs for the entire UPMC Health System for approximately 1,400 utility accounts. d) Analyze energy saving projects, evaluate options, and track all implemented projects. e) Monitor energy usage through hospital building automation systems. f) Prepare internal billing using the hospital building automation system. g) Resolve billing and accounts payable discrepancies. h) Work with outside vendor on utility bill review. i) Work with department administrators to set-up and close-out utility accounts .j) Input data into Energy Star program k) Update information on the Energy and Environmental Engineering/Affairs web page. l) Work with various databases to produce reports regularly. m) Work with hospital administrators, accountants and purchasing on utility related issues.

  • Minimum two years analyst experience and five years administrative experience.

  • Must have excellent analytical, communication and organizational skills.

  • Required to be proficient in Excel and Word.

  • Required to be familiar with report writing and database programs.

  • Experience with Powerpoint and Access preferred.

  • Exceptional typing skills and strong command of the English language and excellent proofreading skills required
