Rutgers University Behavioral Health Care (UBHC), established in 1971, offers a full continuum of evidence based behavioral health and addiction services for children, adolescents, adults, and seniors throughout New Jersey. UBHC's 1,060 experienced behavioral health professionals and support staff are dedicated to treatment, prevention, and education. UBHC, one of the largest providers of behavioral health care in the country, has a budget of $260 million and has 15 sites throughout New Jersey. Services are readily accessible and include: inpatient, outpatient, partial hospitalization, screening, crisis stabilization, family/caregiver support, community outreach and case management, supportive housing, supported employment, prevention and consultation, employee assistance programs, and a licensed therapeutic school from preschool through high school. Specialty services include the New Jersey suicide prevention helpline and peer help lines for police, veterans, active military, teachers, mothers of special needs children and child protective service workers. In FY2016, UBHC treated 16,199 consumers, had 24,502 admissions, and touched the lives of 19,441 individual callers through peer support. In addition, UBHC is the primary mental health training resource for the New Jersey departments of Human Services, Children and Families, and Corrections, delivering 16,000 trainings each year.
Posting Summary
Rutgers, The State University of New Jersey is seeking an Office Manager for the Acute Nursing and Inpatient Department within Rutgers University Behavioral Health Care.The primary purpose of the Office Manager is to manage office support operations and activities Acute Nursing and Acute Inpatient Units. Provides administrative, supervisory, and secretarial services as required.Among the key duties of this position are the following:
  • Supervises clerical and secretarial staff in Nursing and Acute Inpatient Units.
  • Ensures that coverage for Nursing and Inpatient phones and essential tasks are adequate at all times.
  • Supervises and coordinates the processing of clinical documentation for Nursing and Inpatient Units.
  • Creates requisitions in a timely manner so as to avoid procurement violations and monitors spending on purchase orders.
  • Assists Nurse Manager with annual budget preparation.
  • Coordinates documentation for inpatient court hearings, serves as primary contact for County Adjuster, attorneys, investigators, judge and others, provide direction and support to staff and court personnel during biweekly court hearings, ensures that commitments are completed by unit psychiatrist and court orders or other correspondence are filed properly in patients' records.
  • Assists with scheduling of staff on the Inpatient Units, at the direction of the Nurse Manager.
  • Supervises completion of the time and attendance records for the two inpatient programs and assists with payroll.
  • Prepares and/or compiles data for various reports and completes or coordinates the completion of data entry for Acute Nursing and Inpatient Units.

Qualifications

Minimum Education and Experience
  • Associate's Degree plus two (2) years or more of administrative or lead secretarial experience.
  • Equivalent education, experience and/or training may be substituted for the degree requirement.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Must be proficient in Microsoft Word and Excel and be able to enter data into and run reports from Microsoft Access.
  • Must also be proficient in using Rutgers Purchasing electronic system to create requisitions and purchase orders.
