Your Role

The Admin Specialist is responsible for multiple process flows within the office environment. They oversee the Office ordering and PO (Purchase Order) consumption department, who are responsible for the creation and closing of POs. They need to compile data needed for monthly billing, including but not limited to volumes, hour reporting, work orders, and over time hours to bill the customer.

Your Responsibilities

  • Ensure order requests for supplies and equipment are placed

  • Ensure POs are confirmed and closed in a timely manner once the order has been received

  • Set up new vendors in the system

  • Ensure invoices from the vendors are accurate and process all POs

  • Compile hourly reporting on a weekly basis for the tracker, and monthly basis for the invoice

  • Ensure Work orders and over time files are up to date, and compile info for weekly and monthly billing due dates

  • Update KPI for Attendance daily

  • Set up service calls (plumbing, HVAC, etc.)

Your Skills and Experiences

  • 2+ years of full-time customer service, clerk, or administrative experience in a warehousing or distribution environment

  • Intermediate skills in Microsoft Word and Microsoft Excel

  • Experience with Warehouse Management Systems (WMS) JDA or Blue Yonder is preferred

  • Strong ability to quantify results and create accurate reporting

  • English fluency (written and verbal) is a plus
