Mississippi Employer Administrative Assistant in Picayune, Mississippi
A highly organized, detail-oriented and proactive Administrative Assistant is needed. The ideal candidate will be adept at managing a variety of tasks and possess a solid understanding of bookkeeping concepts. Strong communication skills and proficiency in Microsoft Office programs such as Outlook, OneDrive and Excel are required. Key responsibilities include Administrative Support: general office tasks such as scanning and filing documents, answering phones, receiving and distributing incoming mail. Assist in organizing meetings and preparing agendas. Order and maintain office supplies as needed. Run errands outside of the office when needed (pick up and deliver lunch, items between office and plant location, etc.) Assist in maintaining a smooth workflow between departments. Provide support to the Administrative Director for daily tasks and special projects as required. Accounting support & Data Entry: Create and maintain spreadsheets in Excel for financial tracking, shipments, budgets and reports. Process and record customer payments. Assisst with Vendor inquiries related to billing and accounts. Enter bills received from Vendors. Reconcile payable accounts using Vendor statements and internal notes. Process expense reports and track receipts. Logistics Support: Schedule pick ups and deliveries as needed including small postal shipments, LTL and full truckload freight shipments. Liaise between freight carriers and internal departments to communicate shipping schedules as required.
