Learn more at HonorHealth.com. Responsibilities Job Summary The Office Supervisor will oversee front office operations and staff members. This position will train, evaluate direct reports, develop, review, and improve policies, systems and procedures and generally ensuring the office operates smoothly and efficiently. This position will also assist in developing, delegating tasks, and tracking progress on projects, and planning and organizing a calendar of events, which may include training sessions, and new hire orientations, including policy and procedure updates. Build and maintain strong relationships with key business partners and leaders as a foundation for diagnosing, designing, and implementing large- and small-scale solutions that improve employee engagement, retention, leadership development, org. culture and productivity. Oversees the front office staff, inclusive of onboarding evaluating, managing performance, coaching, and developing employees, ensuring productivity, quality of work and alignment of goals with our mission, vision and values. Develop and lead processes for training, coaching and development. Act as a consultant regarding interpersonal skills, problem solving and performance management. Foster a recognition culture. Ensures compliance with all policies, financial stewardship by being accountable for the financial integrity around development and maintenance of the department budget. Will work with the Desert Mission Financial Transaction Specialist to ensure all contracts are processed accordingly. Manages all accounts payable and submit invoices to HonorHealth accounts payable. Manages all accounts receivables, inputting charges into the relevant accounting system. Create and maintain systems of filing and storing hard copies of confidential information in accordance with all applicable regulatory agencies. Support leadership by developing, reviewing, and improving administrative systems, policies, and procedures. Plan, schedule and promote office events, ancillary programs, staff certifications, including overall staff onboarding coordination and orientation. Lead and oversee special projects and tracking progress towards company goals. Work closely with administration, network support systems and outside vendors. Utilize interpersonal skills to communicate, build rapport, implement change management initiatives, methods, tools, and develop collaborative relationships in order to facilitate department and organizational efforts. Other duties as assigned Qualifications Education High School Diploma or GED Required Other Twelve (12) Early Childhood Education (ECE) Credits from an accredited college - required for Lincoln Learning Center only Required Experience 1 year Office management experience Required Licenses and Certifications Basic Life Support (BLS) Current BLS/CPR – Adult, Children, and Infant, within 7 days of date of hire into position for Adult Day Health Care and Lincoln Learning Center. 7 Days Required Current Child Care First Aid for Lincoln Learning Center, or current First Aid for Adult Day Health Care. 7 Days Required Fingerprint Clearance Card - State Current Arizona Dept. of Health Services Fingerprint Clearance Card for Adult Day Health Care and Lincoln Learning Center Upon Hire Required Food Service\Food Handlers Card - Food Handlers Card Food Handler’s card required within 7 Days for the Lincoln Learning Center and Adult Day Health Care, within 30 days at the Desert Mission Food Bank and Living Well. Required Other For those Office Sup-Desert Mission positions that will be required to drive HonorHealth vehicles, incumbent must have a clean driving record as defined by HonorHealth Network Driver Qualification Policy Q-359 (available upon request) and meet the following: 1) Must Be at least 21 years of age 2) Provide a current and valid Arizona driver's license 3) Have a Motor Vehicle Report (MVR) from the Department of Motor Vehicles obtained and reviewed by Human Resources 4) Successfully complete the next available, quarterly conducted, in-house training HonorHealth Defensive Driving Course and provide a certificate of completion.
