Position Profile

The Executive Assistant provides administrative support to the Executive Director/Senior Vice President and other senior leaders to include coordinating calendars, scheduling meetings, composing and typing correspondence, preparing reports, coordinating committee meetings, maintaining files, preparing meeting minutes.

Responsibilities

  • Provides quality administrative support.

  • Maintains current calendar for senior leaders and other staff using discretion in scheduling to maintain a reasonably smooth flowing calendar. Advises appropriate staff of schedule changes as needed.

  • Receives telephone calls for senior leaders, answers routine and specific questions when possible.

  • Serves as liaison between the leaders and staff and external customers to communicate messages, schedule meetings, and disseminate information while maintaining good public relation skills.

  • Takes meeting minutes for specific meetings, using discretion and expertise to ensure pertinent information is included in final minutes. Arranges appropriate follow-up action.

  • Schedules appointments and prepares arrangements for various meetings, including notifying attendees, reserving rooms, requesting refreshments and preparing and distributing agenda and/or supporting documentation.

  • Maintains confidentiality of information.

  • Assists with pharmacy processing for patients.

  • Assists with up various contracts – including SNFs, etc.

  • Assists with re-credentialing for all insurance plans.

  • Schedules travel and seminar arrangements including transportation, accommodations; completes registration forms and prepares check requisitions for conferences, seminars/workshops.

  • Produces general correspondence, memos, charts and other materials as requested. Prepares word processing documents, proofreads materials and distributes upon review and approval.

  • Disperses information to appropriate staff including routing of mail, facsimiles and interoffice mail.

  • Provides other administrative duties as needed.

  • Maintains and enhances professional skills.

  • Adheres to high standards of personal and professional conduct.

Minimum Qualifications

  • Minimum 3-5 years of increasingly responsible administrative support experience.

  • Ability to manage time well and perform assigned duties with attention detail, accuracy and follow-through.

  • Proficient computer skills.
